About The Position

The Coordinator of Athletics Special Events will plan, manage, direct and implement athletics fundraising, donor stewardship and other athletics special events. The coordinator collaborates with intercollegiate athletics and university partners to provide seamless event operations, from initial planning through post-event evaluation. The events this position will oversee include, but are not limited to, the following: Athletics Auction, First Pitch Banquet, Hall of Fame, Legends Banquet, athletics golf outings, football pregame hospitality, and basketball hospitality. This position includes frequent interaction with the public, athletics donors, athletics staff, Foundation staff, campus partners, University and alumni leaders, vendors, and volunteers.

Requirements

  • Bachelor's degree required.
  • One (1) year of experience working in events, or in a collegiate or professional athletic department is strongly preferred.
  • This can include experience as a student-athlete, or as a student-worker, graduate student or intern.
  • Supervisory and customer service experience preferred.
  • Some budgeting and bookkeeping experience preferred.

Responsibilities

  • Plan, Direct, Manage and Implement UCM Athletics Fundraising, Donor Stewardship and Other Special Events - 65%
  • Serve as lead on events including but not limited to: Athletics Auction, First Pitch Banquet, Hall of Fame, Legends Banquet, athletics golf outings, football pregame hospitality, and basketball hospitality
  • Collaborate with University Foundation and Athletics personnel to ensure best possible event management.
  • Research, develop, and implement new ideas to increase engagement in athletics special events.
  • Recommend updates and changes to existing events to enhance and modernize the experience for patrons.
  • Lead open communication and collaborative partnerships to engage University partners, athletics colleagues, donors and community members in UCM Athletics special events.
  • Demonstrate proficiency in utilizing event planning software, constituent database system, managing multiple email accounts, and additional software as assigned.
  • Leverage the constituent database to track and measure event engagement in support of the athletic department mission.
  • Manage and lead committees to aid in effective event planning and goal achievement.
  • Serve on ad-hoc committees when assigned.
  • Ensure excellent attention to detail for accuracy of event logistics and event functions for assigned events from conception to completion, which may include: pre-event developing, organizing, publicizing, implementation, on-site management, stewardship, and post-event follow-through.
  • Conduct and evaluate post-event assessments to measure the quality of customer service, effectiveness of event management, and overall success in achieving event goals and objectives.
  • Analyze findings and provide results and recommendations to the direct supervisor.
  • Ensure adherence to all university and athletics office policies and procedures to ensure safety and accountability.
  • Work with preferred university vendors or external partners for all catering and set-up needs.
  • Develop and manage event budgets, including setting and meeting revenue goals, tracking expenses, and securing sponsorships to ensure events are budget-neutral or revenue-generating.
  • Coordinate with marketing and communications staff to develop and execute marketing plans and event-related promotional materials, including print, mail, electronic communications, social media outreach, and personalized phone engagement, as appropriate.
  • Identify target audiences for events, determine invitee lists, and establish the most effective communication strategy and delivery method for each audience.
  • Evaluate ate campaign effectiveness and inform future strategies.
  • Support Cardinal and Black Fund Growth - 15%
  • In conjunction with the Assistant AD of Annual Giving, work to ensure events support the goals of the Cardinal and Black Fund and, ultimately, Varsity C Club.
  • Ensure events promote the Cardinal and Black Fund by ensuring that the recruitment of Cardinal and Black Fund is top of mind during event preparation.
  • Support the new Varsity C Club upon launch with proper event support as needed.
  • Ensure the needs of CBF members are properly met at events.
  • Help design and promote events specifically for the Cardinal and Black Fund.
  • Cultivate Dependable Student Staff - 10%
  • In conjunction with the Assistant AD For Annual Giving, the marketing department and the ticket office, hire, train and supervise student events employees.
  • Administer payroll, process employment related paperwork, monitor hours and timesheets and maintain student employee files.
  • Create and maintain student employee work schedules.
  • Provide leadership and mentorship to student and part-time staff.
  • Other Duties Assigned - 10%
  • Maintain familiarity with industry best practices and trends in alumni engagement, event management, fundraising, and other not-for-profit areas.
  • Actively participate in all events, staff and board meetings, and professional development activities, as directed by the supervisor.
  • Manage the work assignments of student employees and other administrative staff when working on projects.
  • Be a team player and contribute to the overall UCM Athletic department day-to-day operations.
  • Perform other duties as assigned by the Associate AD of External Relations or Vice President for Intercollegiate Athletics.
