Reporting clinically and operationally to the Dietitian Practice Leader, the Coordinator, Milk/Formula Handling Room manages the operation of the Milk/Formula Handling Room. Coordination of the Milk/Formula Handling Room involves creating, implementing and managing the standards, policies and procedures for human milk and infant/enteral Formulary products, adjunct nutritional supplements and supplies. Coordination includes managing the handling, preparation and distribution of expressed human milk, human donor milk and infant/enteral Formulary products to inpatients; and the procurement of infant/enteral Formulary products. Coordination of both areas involves financial management and reporting, supply chain management, continuous quality improvement, supervision of staff, and collaboration with clinical dietitians, other health care professionals, patient support services, patients and families.

Requirements

  • Graduation from a recognized Bachelor of Science Degree program in Dietetics or Nutrition and completion of an accredited dietetic internship program as approved.
  • Registration with the College of Health and Care Professionals of British Columbia, including Restricted Activity A, and eligible for membership with the Dietitians of Canada (DOC).
  • Three (3) years recent, related clinical experience with one (1) year supervisory experience or an equivalent combination of education, training and experience.
  • Knowledge of standards and regulations including but not limited to health and food safety standards, food premises regulations, infant formula preparation standards, infection control standards, Canadian Standards Association for Health Care Facilities, Canadian Breastfeeding Council Accreditation Standards for Baby Friendly Accredited Hospitals, privacy and confidentiality standards.
  • Ability to communicate with, and to deal effectively with co-workers, physicians, other health care professionals, patients and their families and/or caregivers and vendors.
  • Ability to work as a team member and to deal effectively with patients, customers, families, caregivers, vendors and health professionals.
  • Ability to organize work and prioritize workload and perform duties in a busy workplace setting.
  • Ability to supervise and direct staff.
  • Knowledge of operational processes and planning.
  • Ability to operate related equipment including knowledge of computer applications including word processing, spread sheets, web design and data bases.
  • Ability to perform physical duties related to the position.

Responsibilities

  • Develops and revises written policy and procedure for area operations by applying current knowledge of applicable standards and liaising with key partners to identify interdependencies and align or integrate related policies and procedures. Participates in revision of the operational service delivery model as required.
  • Oversees and directs the activities of staff performing duties in the Milk/Formula Handling Room. Completes ongoing performance monitoring and evaluation. Responsible for staff orientation, training and scheduling and staff hiring.
  • Conducts regular staff meetings and in-services to identify and provide training on changes to policy and procedure. Communicates changes to identified partners. Audits compliance to policy and procedure.
  • Collaborates with Supply Chain, Finance, and vendor representatives, and other parties as required, to establish and monitor contracts, purchasing, billing, and inventory.
  • Maintains related records according to departmental guidelines. Financial responsibility through monitoring expenditures for assigned area and reporting on variances. Provides input and makes recommendations regarding budget for assigned area.
  • Records all routine maintenance requirements. Arranges for emergent maintenance requirements based on established procedures.
  • Collaborates with vendor representatives to troubleshoot problems related to purchasing, billing, and inventory for the Milk/Formula Handling Room. Assists HEU staff to troubleshoot problems between clinicians/clinical areas and Milk/Formula Handling Room, and with product vendors.
  • Creates and manages the inventory of human milk, infant/enteral formula, and supplies by liaising with partners to identify needs; collaborates with supply chain to identify and procure appropriate products to meet the identified clinical requirements, considering the program mandate and financial parameters as required.
  • Update formula and products in the milk management software as needed to reflect product availability.
  • Maintains established systems for patient and client records and participates in systems change initiatives to ensure data is maintained in accordance with standards.
  • Develops, maintains and distributes the Infant and Enteral Formulary. Monitors product information from manufacturers to ensure accuracy of Formularies. Maintains departmental resource files for current product information and references on Formularies.
  • Provides information and facilitates in-service education opportunities for health care personnel and/or clients as required. Maintains after hours supply cupboard.
  • Participates in practice and advisory councils as required. Participates in supply chain contract management processes by providing clinical judgment regarding infant, enteral and metabolic formulas.
  • Performs other related duties as assigned.
