We are currently hiring for the position of: Coordinator, Market Protocol Services (2 positions) Reporting to the Manager, Market Guest Services, the Coordinator, Market Protocol Services contributes to the execution of accreditation assignments, ticket request tracking, stakeholder communications, and onsite protocol support for sales agents, producers, distributors and other industry representatives ensuring a consistent and well-managed experience across all touchpoints. Working closely with the Market Accreditation and Ticketing Operations team, the Coordinator plays a key role in maintaining alignment, accuracy, and visibility across stakeholder data, ticketing activity, and service delivery. The position supports the integration of information and workflows across departments, helping to ensure stakeholders representing Official Selection titles are effectively supported from pre-Festival planning through to onsite engagement. This role operates in a high-volume, time-sensitive environment, requiring strong coordination, attention to detail, and a high standard of professionalism in all interactions.

Requirements

  • Minimum of 2 years experience working with customer relations management systems both on-line and off-line
  • Knowledge of domestic and international distribution, sales activities, national promotional agency networks, funding practices, co-productions and international film festivals and markets
  • Experience dealing with domestic and international clientele
  • Exceptional attention to detail and communication skills.
  • Ability to work closely with clients and high-level partners to address sensitive issues and ensure quality experiences.
  • Strong client building skills
  • Successfully balance the dual goals and expectations of clients and the organization
  • Provide clear direction and establish expectations for internal cross-functional teams and direct reports
  • Expert administrative and organizational skills required
  • Ability to multitask
  • Work under pressure due to tight deadlines and multiple project deliverables/demands
  • Expert with Microsoft Suite and Google Docs
  • Candidates must be legally able to work in Canada at this time.
  • For consideration to those on time-limited Visa status, your Visa must allow you to complete the full contract.

Responsibilities

  • Act as a primary point of contact for sales agents, producers, distributors, and other stakeholders representing Official Selection titles, responding to inquiries related to Festival access, participation, and available resources.
  • Coordinate day-to-day stakeholder interactions, ensuring clear, timely, and professional communication across all touchpoints.
  • Support ongoing engagement with both international and domestic stakeholders, including high-profile clients and companies, contributing to a seamless and well-managed Festival experience.
  • Manage and respond to inquiries through shared protocol ticketing inbox, ensuring consistent and accurate information delivery.
  • Provide exceptional customer service via email, phone, and in-person interactions.
  • Coordinate the assignment of complimentary accreditation for stakeholders representing Official Selection films, ensuring accuracy and alignment with established frameworks.
  • Collaborate with the Market Accreditation team to compile required data and facilitate the creation and distribution of passes for assigned stakeholders.
  • Maintain accurate and up-to-date records of stakeholder information, accreditation status, and participation details across systems.
  • Assist in collecting and organizing key stakeholder and film-related information, including territorial rights availability, to support internal planning and stakeholder servicing.
  • Collect and log ticket requests from sales agents, producers, distributors, and streamers, ensuring completeness and accuracy.
  • Maintain organized and up-to-date tracking of ticket requests by film and stakeholder, supporting visibility and informed decision-making.
  • Support ticket request coordination in collaboration with senior team members, including assisting with prioritization, communication, and resolution of requests.
  • Coordinate with internal teams to ensure ticket allocations are processed and available in advance of the Festival.
  • Organize and distribute Press & Market Screening reports to assigned stakeholders in a timely and consistent manner.
  • Provide onsite support at the Protocol Office, welcoming and assisting attending professionals and addressing real-time inquiries and needs.
  • Contribute to team coordination through participation in regular meetings, providing updates on workload, stakeholder needs, and operational considerations.
  • Support the documentation of workflows, tracking tools, and communication processes to ensure consistency and efficiency.
  • Contribute to post-Festival and market reporting, including the preparation of detailed summaries and analysis to inform future planning and service improvements.
