About The Position

The Coordinator, Market Guest Services supports the delivery of TIFF: The Market’s invited guest experience, coordinating the operational and administrative workflows that enable a seamless, consistent, and well-managed journey for Official Market Guests. Reporting to the Manager, Market Guest Services, this role contributes to the execution of invitation processes, travel and accommodation logistics, and onsite guest support for buyers, industry participants, speakers, and programme guests. Working across multiple internal teams - the Coordinator plays a key role in ensuring alignment, accuracy, and continuity across guest-facing touchpoints. The position supports the integration of guest data, logistics, and communications, helping to translate established service frameworks into a cohesive and responsive guest experience from invitation through to onsite participation.

Requirements

  • 2–3 years’ experience in customer service, stakeholder-facing environments, or event/festival environments
  • Experience managing high-volume communications or external stakeholders
  • Strong operational, organizational, and process-management capabilities across multiple workflows and systems.
  • Demonstrated ability to monitor revenue-adjacent portfolios, interpret performance data, and provide practical operational recommendations.
  • Sound judgement and professionalism when managing both applicant and delegate issues, escalations, and policy enforcement.
  • Strong interpersonal and communication skills when working with filmmakers and film professionals, industry professionals, partners, and internal teams.
  • Ability to work effectively under pressure with competing priorities and tight deadlines.
  • Candidates must be legally able to work in Canada at this time.

  • Experience with writing, copy-editing or editorial review is considered an asset.

Responsibilities

  • Support the day-to-day coordination of invited Market guest workflows, contributing to a seamless experience across invitation, onboarding, and onsite participation.
  • Act as a primary point of contact for assigned guest groups, responding to inquiries related to travel, accommodation, and participation logistics with clarity and professionalism.
  • Maintain accurate and up-to-date guest records, ensuring consistency across systems and alignment with internal teams including Programming and Accreditation.
  • Support the execution of guest communications, ensuring messaging is accurate, timely, and aligned across departments and guest touchpoints.
  • Proactively identify and flag gaps, inconsistencies, or pressure points in workflows or guest experience, supporting improved coordination and service delivery across teams.
  • Support the preparation and distribution of Official Market Guest invitations, agreements, and related documentation.
  • Track invitation status, guest confirmations, and participation details, ensuring accuracy and real-time alignment across shared systems and stakeholders.
  • Coordinate the collection and organization of guest information (bios, headshots, travel details, participation requirements), ensuring accessibility and consistency across Programming, Communications, and operational teams.
  • Maintain clear visibility of guest status and readiness, supporting cross-functional awareness and informed decision-making.
  • Coordinate travel and accommodation logistics for invited Market guests, including flights, hotel bookings, and ground transportation as required.
  • Monitor hotel inventory and reservations, ensuring accuracy, timely updates, and alignment with guest needs and organizational priorities.
  • Prepare and distribute rooming lists, track changes, and liaise with hotel partners to manage updates and special requests.
  • Support the development and communication of guest itineraries and hospitality arrangements, ensuring alignment with programming schedules and operational requirements.
  • Work closely with internal teams to ensure travel and accommodation details are accurately reflected across systems and integrated into broader guest planning and communications.
  • Respond to and resolve guest inquiries related to travel and accommodation, escalating complex issues as required.
  • Provide onsite support to Market guests, ensuring a welcoming, organized, and responsive experience during the event.
  • Coordinate with Programming, Accreditation, and Guest Services teams to support guest participation across Market activities and events.
  • Assist with guest check-in, issue resolution, and real-time coordination of guest needs, facilitating communication across teams to resolve issues efficiently.
  • Maintain accurate records and tracking across all guest-related workflows, ensuring data integrity and consistency across systems.
  • Support post-Market reporting and reconciliation of guest participation, travel, and accommodation data.
  • Assist in identifying operational insights and opportunities to improve coordination, workflow efficiency, and guest experience delivery.
  • Maintain confidentiality of guest information and uphold professional standards across all interactions.
