About The Position

The International Baccalaureate (IB) Diploma Program Coordinator will be responsible for ensuring the effective administration of the IB Diploma Program (IBDP) and will work closely with school leadership in supporting students and teachers to maximize students’ attainment. Quality assurance of teaching and learning in the IB years, providing pedagogical leadership to the IBDP, and promoting the IB ethos will be critical elements of the role.

Requirements

  • Bachelor’s degree (Master’s preferred)
  • In-depth knowledge of and familiarity with IB standards and practices
  • Experience leading and managing staff
  • Experience teaching in the IB program
  • Ability to work collaboratively with faculty, staff, administration, students, families, and key contacts at other organizations

Responsibilities

  • Be responsible for all communications with the IB offices
  • Record all communication, forms, documents, and reports from the IB
  • Ensure that appropriate student records are maintained
  • Contribute to the promotion and development of the IBDP both within and outside the school
  • Attend workshops and regional meetings
  • Organize internal assessment and moderation of internal assessment, according to the Diploma criteria
  • Support the Principal on curriculum developments within the IBDP
  • Create and maintain internal assessment calendar
  • Work with counselor to ensure students are appropriately scheduled for DP coursework and eligible for the IB Diploma Examinations
  • Ensure that students are registered for examinations
  • Ensure that students receiving assessment accommodations are appropriately registered with supporting documentation to receive accommodations
  • Ensure appropriate conduct of examinations (written and oral), including establishing examination schedule, training invigilators, and preparing exam materials
  • Ensure that all internal assessment materials are sent to respective examiners
  • Send examination answer scripts to IB examiners on time
  • Report examination irregularities
  • Organize distribution of results
  • Work with school leadership to analyze results and adjust program delivery as necessary, including submitting enquiry upon results on behalf of students as necessary
  • Ensure that all teachers are suitably qualified and trained in accordance with IB requirements
  • Conduct regular meetings with IB teachers
  • Provide support and information to teachers new to the IB, especially in pedagogy and assessment
  • Conduct quality assurance of the delivery of the IBDP
  • Oversee the five-year program evaluation
  • Ensure that teachers have access to the most up-to-date publications
  • Ensure that teachers have information on current Diploma Program developments
  • Coordinate participation in Diploma workshops and professional learning
  • Inform all concerned about assessment procedures and deadlines
  • Ensure that all documents are completed on time
  • Prepare timelines for submission of work to the IB
  • Rationalize timelines for students
  • Ensure the efficient administration of the CAS, extended essays and TOK programs
  • Ensure that all students are clear about the requirements of the IB Diploma Program and are updated as changes arise
  • Inform 9th and 10th grade students about the IB requirements
  • Participate in recruitment activities to inform prospective students about the requirements of the Diploma Program
  • Advise students on subject selection
  • Accommodate transfer students and liaise with their former schools
  • Monitor students’ progress and coordinate support for those experiencing difficulty
  • Display empathy for 11th and 12th grade students
  • Provide comprehensive information to parents about the Diploma Program and the School’s milestones
  • Organize parent meetings to advise parents on the suitability of the IB Program for their child(ren), inform parents about the requirements of the IBDP, and notify parents about their child(ren)’s progress
  • Keep parents apprised of their child(ren)’s progress in all subjects, the Extended Essay, and the CAS program
  • Create EE timeline for students
  • Maintain updated EE handbook
  • Provide EE orientation to all DP students at the start of 11th grade
  • Provide EE information session to all 11th grade parents
  • Work with TOK teacher(s) to provide students support with the EE, including research workshops
  • Train EE supervisors
  • Track student progress and communicate difficulties with parents
  • Ensure all reflections and deadlines are met by students and supervisors
  • Collect and upload all EEs and reflections
  • Create CAS timeline for students
  • Maintain updated CAS handbook
  • Provide CAS orientation for all 11th grade students
  • Provide CAS information session for all 11th grade parents
  • Train students on the use of Managebac for maintaining CAS records
  • Support staff members and community members who work with students on CAS experiences and projects
  • Meet with each DP student at least three times for formal CAS reflections
  • Collect and read all CAS journal entries
  • Ensure all criteria for CAS are met and submit completion forms to IB
