About The Position

This role provides day-to-day oversight and support to the HR Compliance team. The Coordinator acts as a Designated Employer Representative (DER) designee, maintaining immediate oversight of Frontier's Drug and Alcohol Program and ensuring compliance with applicable regulations. They also oversee Frontier's Pilot Records Database (PRD) program, ensuring compliance with regulations. The position serves as a subject matter expert and primary point of contact for the drug and alcohol, PRD, and employment background programs.

Requirements

  • Minimum 2 years of work experience in human resources, auditing, or legal experience.
  • Intermediate skill in Microsoft Office, PowerPoint and Excel.
  • Skill in project management, planning, organizing and prioritizing work assignments effectively.
  • Highly adaptable, capable of effectively managing a high-volume workload in a fast-paced and rapidly changing environment.
  • Ability to work closely with the FAA and participate in teamed investigations/inspections with federal agencies.
  • Skilled in interpreting and closely following policies, rules, and regulations.
  • Strong presentation skills and interpersonal skills – both written and verbal.
  • Ability to use discretion and good judgment in ambiguous situations.
  • Strong communication skills and analytical ability.

Nice To Haves

  • Bachelor’s Degree in Human Resources, Business Administration, Accounting or Psychology preferred; equivalent combination of related education and experience considered in lieu of degree.
  • Administrative or management experience with Compliance, Drug & Alcohol or HR related programs preferred.
  • Prior airline experience preferred.
  • Experience as a Subject Matter Expert in FAA DOT or PRD regulatory compliance strongly preferred.
  • Previous experience administering a drug/alcohol program or governmentally regulated program(s) in a corporate environment preferred.

Responsibilities

  • Administering the Drug & Alcohol Program for Frontier Airlines in accordance with FAA and DOT guidelines, including tracking and processing employee drug and alcohol tests, facilitating random and reasonable suspicion testing, and consulting with management on related procedures.
  • Auditing leaves of absence and furloughed employees for return-to-work drug/alcohol testing and ensuring record-keeping compliance.
  • Ensuring follow-up testing for alcohol violations is handled with utmost confidentiality to avoid legal disputes.
  • Investigating and assisting in the mediation of employee complaints and appeals using corporate or collective bargaining processes.
  • Representing the company in dealings with government agencies and monitoring vendor compliance.
  • Performing regular after-hours on-call responsibilities to monitor and respond to Drug & Alcohol Program related questions and incidents.
  • Ensuring compliance with the Pilot Record Database regulatory compliance, including retention and release of drug & alcohol testing and pilot training records for applicants and past employees.
  • Coordinating with other airlines' representatives and with pilots (past and present) regarding PRD responsibilities.
  • Evaluating pilot-applicant drug testing & alcohol misuse records to ensure acceptability for hiring, documenting, reviewing, and retaining these records in compliance with the PRD.
  • Preparing for and conducting internal program audits and participating in DOT audits.
  • Tracking violations and preparing statistical reports of actions taken.
  • Monitoring data integrity and developing procedures to validate data in related databases.
  • Compiling and researching information for monthly, quarterly, and annual reports.
  • Managing the pre-employment background check process, including fingerprint background checks.
  • Managing the Security Identification Display Area (SIDA) badging process for new and current employees.
  • Presenting drug and alcohol training to managers and employees.
  • Providing management and employees with information and interpretation of human resource policies, rules, and procedures.
  • Recommending or initiating programs or actions to resolve problems and enhance client service.
  • Occasional travel to monitor collector and vendor processes and to support recruiting efforts.
  • Negotiating, researching, and maintaining contracts with vendors.
  • Assisting in monitoring the department budget and in the annual budgeting process.
  • Performing special projects and other duties as assigned by the manager.
