About The Position

SickKids Foundation, a leading charitable funder of child health research, is seeking two Coordinators, Events. One position is permanent full-time, and the other is a temporary full-time 12-month contract. Both roles are integral to the planning, coordination, and execution of the Foundation's various events, including signature, stewardship, cultivation, and recognition events. The Coordinators will support all stages of the event lifecycle, working closely with managers, Foundation teams, hospital stakeholders, vendors, and volunteers to create exceptional event experiences that strengthen donor relationships and support the Foundation's mission. These roles are ideal for individuals who enjoy operational planning, hands-on execution, thrive in a collaborative environment, and are passionate about creating meaningful experiences.

Requirements

  • College diploma or university degree in Event Management or a related field.
  • Minimum two years of experience in event planning, fundraising events, hospitality or related experience.
  • Strong organizational skills with the ability to manage multiple priorities simultaneously.
  • Excellent interpersonal and communication skills.
  • Strong customer service orientation.
  • Ability to build positive relationships with internal and external stakeholders.
  • Strong attention to detail and excellent follow-through.
  • Proactive, resourceful and solutions-focused.
  • Comfortable working independently while contributing to a collaborative team.
  • Strong financial and administrative skills, including budget tracking and reconciliation.
  • Proficiency with Microsoft Office and AI (Excel, PowerPoint, Word, ChatGPT, CoPilot).
  • Experience supporting onsite event execution.
  • Ability to occasionally work evenings and weekends as required.

Responsibilities

  • Support the planning through execution, coordination and execution of exceptional signature, stewardship, cultivation and recognition events.
  • Assist with all phases of the event lifecycle including planning, logistics, onsite execution and post-event reconciliation.
  • Coordinate event logistics including venue requirements, production schedules, load-in/load-out plans, run-of-show documents and contact lists.
  • Prepare event books, briefing materials and execution documents for internal teams and vendors.
  • Assist with event concept development and implementation.
  • Maintain project timelines, task lists and planning documents to ensure deliverables remain on track.
  • Provide regular status updates during team meetings.
  • Support continuous improvement by identifying opportunities to streamline event processes and documentation.
  • Research vendors, obtain quotations and assist with procurement activities in accordance with Foundation policies.
  • Support RFP processes by coordinating documentation and summarizing vendor proposals.
  • Build strong working relationships with internal partners, hospital teams, suppliers and event stakeholders.
  • Deliver exceptional customer service while supporting donor-facing experiences.
  • Support event budget tracking and expense management.
  • Process invoices, reconcile corporate credit card expenses and maintain accurate financial records.
  • Cross-reference event budgets with Foundation financial reports.
  • Identify cost-saving opportunities while maintaining high-quality event delivery.
  • Coordinate event inventory, supplies and event materials.
  • Lead packing and unpacking of event assets before and after events.
  • Manage event storage and inventory tracking.
  • Support onsite event setup, execution and teardown.
  • Maintain event documentation, filing systems and project records.
  • Coordinate mailings, shipping, printing and other administrative activities.
  • Develop presentations, spreadsheets, floorplans and supporting materials using Microsoft Office.
