About The Position

The Capital Area Food Bank is seeking a Donor Services Coordinator to join their Development team. This role is responsible for processing charitable contributions with a high degree of accuracy, responding to donor inquiries, coordinating with internal teams, and providing administrative and operational support across the Development and Finance departments. This position plays a vital role in maintaining the integrity of donor data and requires exceptional communication and problem-solving skills. The role is suited to someone who thrives in a fast-paced, collaborative environment, takes initiative, manages competing priorities with confidence, and is committed to delivering outstanding customer service, improving processes, and ensuring operational excellence. The successful candidate will enjoy working with data, interacting with donors via phone and email, learning new systems quickly, and working independently. The Donor Services team is a collaborative, cross-functional group that works together to ensure the seamless execution of critical fundraising operations. Team members are cross trained to provide operational continuity, support one another, and deliver exceptional service to donors while partnering closely with Development and Finance to advance the Food Bank’s mission.

Requirements

  • 1-2 years of fundraising, administrative, or equivalent experience preferred
  • Strong project management skills with exceptional attention to detail, organization, and deadline management.
  • Excellent verbal, written, and interpersonal communication skills, with the ability to tailor messaging to diverse audiences.
  • Proven ability to work collaboratively across departments and with internal teams and external stakeholders, donors, volunteers and community members.
  • Comfort reviewing and synthesizing information quickly.
  • High attention to detail.
  • Maintains professional discretion handling confidential donor information.
  • Proficiency with Microsoft Office.
  • Experience with a CRM system, such as Salesforce, preferred.
  • Regular and punctual attendance is required.
  • High integrity, emotional intelligence, and the ability to represent the Food Bank with professionalism and enthusiasm.

Responsibilities

  • Process and record all charitable contributions accurately and promptly in the Food Bank’s CRM, including gifts received through lockbox, credit card, wire, ACH, stock, pledge, and other giving methods.
  • Manage the daily gift-processing workflow, including logging, sorting, batching, and maintaining required supporting documentation.
  • Apply appropriate fund, campaign, appeal, and finance coding to gifts in accordance with organizational policies and procedures.
  • Proactively identify, research, and resolve gift processing discrepancies in collaboration with the Finance, Development, and Donor Services teams.
  • Maintain donor data integrity through routine database maintenance, data hygiene, and periodic cleanup projects.
  • Process returned mail by researching and updating donor addresses and contact information to maintain an accurate and current donor database.
  • Serve as a primary point of contact for donor and supporter inquiries, providing timely, professional, and courteous customer service.
  • Coordinate the production and distribution of gift acknowledgement letters, ensuring acknowledgements are accurate, timely, and utilize the appropriate language and templates.
  • Manage the secure intake of physical donations received at the Food Bank’s headquarters by documenting gifts in shared tracking logs and preparing checks for in-house and secure lockbox processing.
  • Oversee the scanning, routing, and distribution of incoming donor correspondence to the appropriate internal stakeholders.
  • Serve as the primary liaison to the Finance team for gift documentation, check logs, monthly reconciliations, and other Development accounting activities.
  • Organize and maintain gift documentation, donor records, and departmental files in accordance with record retention standards.
  • Support annual financial audits by preparing and providing requested gift documentation and supporting materials.
  • Ensure all gift processing practices comply with established organizational standards, accounting procedures, and internal controls.
  • Support the Development team with administrative responsibilities and special projects as assigned.
  • Collaborate effectively with Development, Finance, Marketing/Communications, and other internal departments, as well as external vendors, to support fundraising operations and organizational initiatives.
  • Identify opportunities to improve gift processing workflows, documentation, and operational efficiencies while maintaining high standards of quality and accuracy.
