About The Position

The Distribution Systems & Inventory Coordinator will collaborate with the warehouse to investigate inventory discrepancies, including differences between physical stock and the inventory system for Retail/Wholesale/E-Commerce Business Partners. This role involves processing necessary transfers to balance inventory, ensuring the synchronization of Warehouse Management Systems, and verifying that every physical movement of inventory is accurately recorded and tracked in the system. The coordinator will also be responsible for recording and tracking merchandise on loan, following up on outstanding loans, and processing required transfers. Additionally, the position entails tracking stock repairs, reviewing and reporting vendor receiving discrepancies, and filing appropriate claims and system movements to reconcile receiving errors. Key responsibilities include maintaining a schedule for cycle counts, communicating challenges, organizing and overseeing counts with management and staff, reconciling errors, and analyzing results to identify process improvement opportunities. The coordinator will also manage the inventory reconciliation process, investigate and explain discrepancies between physical and system inventories, and provide support for other inventory tasks during peak periods, such as invoice accuracy review, supply order entry, and document filing. Requirements

  • 1-2 Years Minimum of Related Experience.
  • Basic Excel knowledge.
  • Ability to lift up to 50 lbs. following properly safety procedures.

Responsibilities

  • Partner with the warehouse to investigate inventory discrepancies including the physical versus inventory system for Retail/Wholesale/E-Commerce Business Partners.
  • Process necessary transfers to balance inventory.
  • Ensure synchronization of Warehouse Management Systems.
  • Ensure that for every physical move of inventory there is a corresponding system transaction recording and tracking movement.
  • Record and track merchandise on loan.
  • Follow-up and report on outstanding loans and process required transfers.
  • Track stock repairs.
  • Review and report to vendor receiving discrepancies.
  • File appropriate claims and system movements to reconcile receiving errors.
  • Maintain schedule of counts.
  • Communicate challenges encountered during counts (organizational, staff, technical).
  • Communicate to warehouse manager’s organizational objectives in orders to facilitate count.
  • Organize, perform and oversee count with Management and staff.
  • Reconcile counts, system errors and review discrepancies.
  • Analyze results to identify opportunities for improved processes.
  • Schedule and prepare for Bi-annual inventories for all divisions in coordination with Loss Prevention, Sales teams and Distribution Center Management.
  • Responsible for inventory reconciliation process.
  • Investigate discrepancies between physical and system inventories, report and explain discrepancies.
  • Support and back up Inventory responsibilities when needed or during peaks such as: Invoice Accuracy Review, Supply Order Entry, Document Filing.
