About The Position

The Coordinator, Communications will play an integral role in supporting all functions aligned with the Communications team’s focus on building awareness of and excitement for the Lucas Museum to a wide array of audiences in the lead up to and after the museum’s opening. Reporting to the Director, Press & Communications, the Coordinator will play a key role in knitting together the various activities of the division. They will assist with crafting the institution’s reputation and narrative across a wide range of projects, including drafting PR materials and managing logistics with a variety of internal and external stakeholders. The role requires an excellent communicator and self-starter with strong organizational skills and the ability to work easily with a wide range of working and personality styles in a fast-paced environment. As a thought partner to the team, the Coordinator will contribute to the development of communications initiatives that will build a rhythm of external activities from now through the opening to bring the Lucas Museum to life for the public. The ideal candidate will have proven work experience as a coordinator or similar role within a communications and/or marketing team, knowledge of traditional and digital communications and marketing tools, and familiarity with email communications tools and digital asset management. The Coordinator will maintain deep awareness of activities across the division, helping to facilitate the execution of programmatic goals and operations that bear out the museum’s mission, vision, and values. Requirements

  • Associate’s degree in Marketing, Communications, Digital Design, Business, or a related field
  • 3-5 years related experience in nonprofit, arts, museum, advertising, communications, design, or other relevant industries
  • Excellent verbal and written communications skills

  • Commitment to accuracy and exceptional attention to detail
  • Interest in museums, art, and culture
  • Strong interpersonal and relationship management skills with the proven ability to clearly communicate to a wide range of individuals from varied backgrounds

  • Broad familiarity with principles of communications and marketing
  • Experience using project management tools like Airtable, Asana, Quickbase, and others
  • Expert knowledge of the Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Experience using email communications tools like Mailchimp; experience working within a website CMS system; experience with organization-wide CRM systems
  • Impeccable integrity and ability to maintain confidentiality; excellent judgment
  • Ability to work effectively and timely on a wide variety of projects concurrently, with concern for the tasks assigned and the goals of the department
  • Able to maintain a cool head while managing competing priorities and a high volume of activity

Responsibilities

  • Work with the Communications team to develop and implement strategies for promoting the museum’s exhibitions, public programs, collections, development, and other initiatives
  • Coordinate project management across the division to ensure all activities are connected and on track
  • Manage production schedule for all communications activities and ensure all deliverables are submitted within deadline
  • Assist with the creation and distribution of reports about the division’s activities including press coverage, photoshoots, events and more.
  • Assist in the creation and distribution of communications and marketing materials, emails, press releases, and event collateral
  • Assist in ensuring all communications initiatives are communicated thoroughly internally
  • Participate in the execution of programs and events hosted by the museum, including community activations and booths, press events, public programs, photo and video shoots, and more
  • Support division staff with operations and administrative logistics, including ordering supplies, facilitating contracts, and liaising with various partner contacts
  • Schedule internal and external meetings; send agendas and follow-up emails for division-hosted meetings
  • Maintain a centralized archive of print and digital communications
  • Track and report on division budget
  • Lead onboarding processes for new staff
  • Support activities throughout the division as needed
  • Other duties as assigned
