About The Position

The AMS Coordinator is responsible for assisting the SVP, Trust and Association Operations and ensuring smooth daily operations and planning within the AMS department. They will support multiple AMS projects for the department and for specific associations. Duties include coordinating meeting preparations and managing association records in corporate books and online platforms. This role involves collaborating with internal teams and third-party vendors.   • Experience working across multiple computer systems simultaneously
  • Organizational skills to maintain files, records, and logs in order
  • Ability to work effectively with all levels of personnel within HGV
  • Must reside within 30 miles of our corporate office located in the Orlando area.
  • Attendance at quarterly team meetings is required.

Nice To Haves

  • Minimum of two years of experience working within a Timeshare/HOA or Hospitality role preferred

Responsibilities

  • Support SVP by managing his calendar, scheduling meetings, booking travel, coordinating itineraries, and preparing expense reports.
  • Deliver administrative support to the AMS Team through the preparation of documents and reports, managing communications within and outside the company, and coordinating meetings and travel plans.
  • Work closely with the AMS team to coordinate, prepare, and complete various projects while adhering to strict project and meeting timelines.
  • Communicate with owner board members, third-party vendors, and outside experts as needed.
  • Track and ensure invoices and board member reimbursements are processed in a timely manner.
  • Help manage different kinds of records, forms, documents, and websites.
  • Coordinate and assist with board member orientation.
  • Must apply and become proficient in software programs such as BoardEffect, Pacer, Concur, etc.
  • Support the Association Governance team as needed.
