About The Position

Reporting to the Manager, Equitable Learning, the Coordinator, Accessible Learning and Testing Services provides administrative coordination and operational support for Accessible Learning Services (ALS) and the Testing Centre across multiple campuses, including Fennell, Stoney Creek, Institute for Applied Health Sciences (IAHS), and Aviation. The position supports the effective delivery of student services by coordinating staffing schedules, service coverage, testing operations, departmental workflows, and administrative processes related to academic accommodations, accommodated testing, make-up testing, pre-admission testing, Assessment for Success, and external proctoring. The incumbent coordinates day-to-day operational activities to support consistent and efficient service delivery across all campuses. The role serves as a central point of coordination among departmental staff, faculty, students, and campus partners, ensuring operational requirements are met, resources are effectively allocated, and services are delivered in accordance with departmental procedures and service standards. The incumbent monitors service demands, testing volumes, staffing requirements, and operational workflows; identifies scheduling conflicts, service gaps, and emerging operational issues; and recommends or implements appropriate adjustments within established guidelines. The incumbent maintains operational records, coordinates communications, supports semester start-up and peak examination planning, and provides departmental data and administrative support to inform operational planning and decision-making. Utilizing institutional systems including Symplicity Accommodate, RegisterBlast, Accuplacer, Banner, Microsoft Outlook, Teams, and Excel, the Coordinator facilitates the coordination of people, processes, and resources necessary to support accessible, student-centred service delivery across Accessible Learning Services and the Testing Centre.

Requirements

  • 3-year diploma/degree in Business Administration, Office Administration, Public Administration, Student Affairs, Communications and Logistics or a related field.
  • Minimum five years of experience coordinating complex administrative processes, scheduling, and service delivery in a post-secondary, student services, healthcare, accessibility, or similarly complex service environment.
  • Experience coordinating multiple competing priorities, staff schedules, calendars, customer service processes, and operational logistics is required.
  • Experience utilizing student information systems, scheduling systems, Microsoft Office applications, spreadsheets, and database platforms to coordinate activities, maintain records, and support service delivery is required.
  • Demonstrated commitment and understanding of human rights, equity, diversity, inclusion, and accessibility.
  • The ability to communicate and work effectively with diverse students, employees, and communities.

Nice To Haves

  • Training or coursework related to accessibility/disability legislation will be an asset.
  • Experience working in accessibility, testing, student services, or a multi-campus environment is considered an asset.

Responsibilities

  • Coordinate and Organize Departments' Daily, Weekly and Semester Functions
  • Coordinate staff scheduling, campus coverage, and service continuity for Accessible Learning Services and the Testing Centre across campuses.
  • Maintain calendars and coordinate staffing logistics to support operational needs and semester demands; scheduling recommendations finalized with Manager approval.
  • Coordinate Testing Centre administrative operations and testing logistics, including scheduling of invigilators weekly, room allocation, testing appointments, make-up tests, accommodated testing, external proctoring, pre-admission testing, Assessment for Success, and peak examination period coordination.
  • Coordinate scheduling adjustments and service logistics to address changing operational demands.
  • Coordinate administrative processes supporting Accessible Learning Services, including front desk coverage, appointment coordination, service wait time monitoring, semester start-up planning, campus staffing coordination, and workflow support to maintain continuity of service delivery.
  • Provides regular reports as requested around operations at all campuses, including appropriate metrics, observations and recommendations for improvements.
  • Gathers supply list for Accessible Learning and Testing Centre to the Manager for finalization and ordering approval.
  • Coordinate communication and scheduling between staff, students, faculty, and campus partners regarding testing logistics, accommodation needs, scheduling concerns, service coordination, and procedural inquiries. Provide procedural guidance related to departmental processes and service access.
  • Departmental Administrative Duties
  • Ensure processes and procedures are documented and updated regularly.
  • Facilitates data sharing in support of start-ups, exam periods.
  • Ensures shared resources are up-to-date and shared with service areas accordingly.
  • Processes requests for information/documentation from student files and prepares letters in draft for the Manager’s signature to release the contents of student files for students transferring to other post-secondary institutions.
  • Facilitates student satisfaction with support services via short surveys.
  • Records Maintenance
  • Maintain records, scheduling information, operational tracking, and provide departmental data related to testing volumes, service demand, accommodation usage, staffing schedules, and utilization trends using institutional systems and spreadsheets.
  • Departmental Planning
  • Participate in departmental planning, process improvement initiatives, peak service coordination, and special projects to support operational effectiveness across campuses.
  • Other duties as assigned.
