About The Position

This role is responsible for the coordination of functions within the Patient Access department. The individual will be fully versed in all aspects of admitting, registration, and business office requirements, including hospital policies, Joint Commission standards, and HIPAA Privacy Practices. The position involves performing, organizing, and delegating routine coordination tasks, meeting deadlines, prioritizing requests, and providing ongoing support and expertise through mentoring and assessment of the department. The duties are not limited to the list provided and may change as deemed necessary.

Requirements

  • High School Diploma or equivalent.
  • Must be able to communicate effectively in English, both verbally and in writing.
  • Minimum of two years of essential experience in the Patient Access department or up to three years related experience.
  • Ability to communicate effectively and courteously.
  • Demonstrate patience, tact, diplomacy and persistence in daily contact with all customers.
  • Performs effectively under stress to meet deadlines.
  • Must have the ability to organize, prioritize work according to written or verbal instructions using organizational skills and sound judgment.
  • Ability to listen and display professionalism and confidentiality.

Responsibilities

  • Ensures the highest possible customer service is delivered to both internal and external customers, proactively approaching dissatisfied customers and implementing recovery measures.
  • Maintains current knowledge of registration, insurance, and collections guidelines to serve as a resource for staff, physician offices, and clinical/non-clinical departments.
  • Plans and schedules work for the group, ensuring proper distribution of assignments and adequate manning. Coordinates staffing schedules, approves/denies time-off requests, completes payroll entry, and provides staffing coverage.
  • Monitors the quality and accuracy of registrations, assists with quality assurance audits and reports, trends data, and helps resolve errors like duplicate MRNs or incorrect data elements.
  • Participates in performance improvement by following established work systems, identifying deviations or deficiencies, and communicating problems to management.
  • Takes an active role in the maintenance, testing, upgrades, and issue resolution of all registration systems.
  • Demonstrates flexibility, commitment, and availability to department needs, completing special assignments and assisting with projects/special circumstances.
  • Manages department staff, including hiring, scheduling, training, evaluating performance and competency, and conducting disciplinary/counseling.
  • Provides leadership for day-to-day operations of the department, ensuring operating efficiency and continuity of care.
  • Performs all other tasks/responsibilities as necessary.
