About The Position

Guidebook is seeking a Controller to manage its accounting operations end-to-end. This role involves owning the monthly close process, accounts receivable (AR) and accounts payable (AP), payroll processing, cash management, and producing financial reports for leadership and the board. The Controller will be the primary NetSuite administrator and will be responsible for understanding and explaining all financial data. This is a "one-seat" function with no direct reports, offering significant autonomy and authority over the accounting operations. The role involves identifying and improving manual, undocumented, or outdated processes within the company's 15-year-old accounting function. The position requires a proactive individual who can improve processes and build necessary controls.

Requirements

  • 7+ years of accounting experience.
  • Bachelor's degree in Accounting or a related field.
  • Experience owning the entire month-end close process, not just a part of it.
  • Proficiency in NetSuite, with day-to-day work experience.
  • Ability to work independently with minimal supervision, as the manager is in a different time zone and finance leadership is fractional.
  • Proactive problem-solving skills, flagging issues early and setting one's own pace.
  • Demonstrated ability to improve processes, fix manual or undocumented tasks, and document changes.
  • Clear written communication skills for explaining financial information to non-finance personnel.
  • Comfort working autonomously as the sole accounting function within a small company.

Responsibilities

  • Own the monthly close process, including preparing and posting journal entries, reconciling balance sheet accounts, performing bank reconciliations, and maintaining prepaids, accruals, and fixed assets.
  • Manage accounts receivable, including invoicing customers, chasing payments, and maintaining a healthy AR aging report. Serve as the main point of contact for customer billing inquiries and collaborate with the sales team on order-to-cash processes.
  • Handle accounts payable and cash management, including vendor setup, bill runs, resolving payment discrepancies, and executing weekly disbursement runs.
  • Maintain a rolling cash forecast and proactively identify potential cash flow issues.
  • Process payroll, prepare related journal entries, and reconcile payroll general ledger accounts.
  • Administer corporate credit cards and the expense platform, reconcile card activity, and enforce the expense policy.
  • Produce the monthly reporting pack, including P&L and balance sheet variance analysis against budget.
  • Prepare the monthly package for the external CPA and support annual tax filings, audit requests, and lender or investor diligence.
  • Act as the NetSuite system owner, maintaining a clean chart of accounts and identifying opportunities for system automation.
  • Document existing accounting processes, improve inefficient workflows, and establish necessary internal controls.
  • Serve as the primary contact for the outside CPA firm, gathering and delivering all requested financial data for tax preparation.
  • Assist management in creating annual budgets and tracking financial performance variances.
  • Manage the company’s core insurance portfolio and review contracts to ensure reasonable indemnity clauses and verify Certificates of Insurance (COIs) from external contractors.
