About The Position

This is a supervisory position responsible for overseeing a staff of support associates in maintaining an information system for recording patient services or inspection results for regulated facilities. The information system consists of data entry regarding patient registration, fee collection, generating charges for services rendered and accounting of payment received. Supervises staff in general medical, environmental, WIC or Home Health departments of the agency.

Requirements

  • High School Diploma or GED.
  • Five (5) years of professional business or public administrative experience in a medical, hospital or administrative office environment using electronic office equipment and professional software.
  • Must submit to a drug screening test and background check.

Responsibilities

  • Supervises approximately 12 support staff across Henry, Shelby, Spencer, and Trimble County Health Departments responsible for maintaining the Patient Services Reporting System (PSRS).
  • Provides comprehensive staff management, including scheduling, work assignments, leave coordination, training, technical support, and performance evaluation in alignment with agency standards.
  • Interprets and communicates agency policies and procedures.
  • Collaborates with Executive Staff and the Director of Nursing to manage clinic flow, monitor staffing trends, and lead quality assurance and improvement initiatives.
  • Stays current on PSRS, policy, and records management updates and disseminates information to staff through meetings and written communications.
  • Performs patient service functions within electronic systems, including scheduling, reception, and WIC benefit issuance.
  • Serves as a key resource for insurance-related functions, including verifying coverage, coordinating benefits, and ensuring proper claim submission in accordance with payer requirements, state regulations, and agency policies.
  • Maintains accountability for accurate coding and documentation to support clean claims and minimize denials.
  • Proactively monitors and manages the full revenue cycle, including claims processing, denial tracking, appeals, and reimbursement follow-up.
  • Analyzes billing reports, payer trends, and data sources to identify errors, reduce claim rejections, and improve overall reimbursement rates.
  • Address complex billing issues and work directly with staff, payers, and Finance to resolve discrepancies and ensure timely payment.
  • Oversees records management, including chart audits, scanning, and destruction in compliance with state policies.
  • Participates in hiring by interviewing candidates and making recommendations.
  • Maintains communication with staff and district leadership, manages office supply inventory, and provides general clinic and registrar support as needed.
  • Performs additional duties as assigned, including emergency preparedness and response activities.
  • Develop and revise work schedules and assignments to meet staffing and program needs and approves requests for absences.
  • Attends appropriate meetings to learn of changes in PSRS, procedural and policy changes and records management changes.
  • Provide technical assistance and on the job training for support staff.
  • Coordinates activities of support staff with program staff and may schedule clinics and arrange for special providers.
  • Provide and arrange orientation for new support staff.
  • Maintain correspondence with support staff through newsletter, staff meetings and memorandums.
  • Conducts staff meeting as deemed necessary.
  • Evaluate the performance of employees supervised according to job standards, agency goals and performance achieved.
  • Evaluates the support services functions and processes to ensure smoother operation.
  • Monitor and report uncollectible account receivables and Schedule clinics as appropriate.
