About The Position

The Salvation Army is seeking a Support Services Supervisor to maintain a safe, sustainable, and dignified environment for clients and staff. This role involves supervising business, property, and dietary functions of the ministry unit, contributing to the organization's mission through sound financial management, well-maintained facilities, and oversight of food services. The supervisor is responsible for ensuring all funder, legislative, and organizational requirements are met within their scope of responsibility.

Requirements

  • Willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
  • Ability to provide an original copy of a Protected B Clearance that is satisfactory to The Salvation Army.
  • Diploma or degree in a related discipline (e.g., Business Administration, Finance, etc.).
  • Emergency First Aid & CPR, Non-Violence Certificate, and Mental Health First Aid Certificate or willingness to complete once hired.
  • Other certification required by The Salvation Army and federal/provincial legislation or willingness to complete once hired.
  • 3-5+ years of experience overseeing business and property management functions in a facility.
  • Demonstrated ability to lead a staff team.
  • Knowledge of Occupational Health and Safety issues.
  • Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility.
  • Strong understanding of professional boundaries when working with a vulnerable population.
  • Ability to coach and provide constructive feedback.

Responsibilities

  • Oversees ongoing facility maintenance, renovations, and property projects.
  • Supervises all matters pertaining to custodial and dietary services for the ministry unit.
  • Oversees procurement of goods for dietary and custodial services.
  • Monitors use and maintenance of equipment, ensuring regular inspections occur as needed.
  • Works with frontline and clinical staff to direct resident chore schedules.
  • Liaises with contractors and maintenance professionals as needed.
  • Provides vacation coverage for staff as needed.
  • Prepares and/or inputs appropriate forms, monthly statistical recording, and reporting.
  • Ensures the shelter is kept in a clean and organized/orderly fashion.
  • Prepares incident reports and submits reports when they occur, ensuring WSIB forms are completed and submitted.
  • Supervises and provides day-to-day direction to assigned reports (Business Manager, Cook, Janitor) in accordance with established policies and procedures, including Employment Standards and payroll procedures.
  • Trains members of the Support Services team, ensuring they have clarity of role and understanding of expectations.
  • Demonstrates relevant understanding of, and compliance with, legislative knowledge of the Employment Standards Act, Human Rights Act, collective agreement, and other applicable legislation as required.
  • Engages in the development of inter-personal relationships that promote dignity and respect.
  • Schedules, conducts, and documents regular supervision meetings.
  • Conducts Performance Reviews quarterly and Evaluations annually.
  • Ensures staff work within all Health and Safety practices/protocols.
  • Attends and actively participates in Team meetings and chairs them in the absence of the Operations Manager.
  • Provides back-up support to support services and management positions and their functions as required.
  • Performs on-call duties for issues as scheduled.
  • Ensures that all employee and client files and information are kept under lock and key and held in the strictest confidentiality.
  • Responsible for oversight of KHL’s health and safety program.
  • Demonstrates understanding of, and compliance with, workers’ responsibilities under the Occupational Health and Safety Act and Regulations, WSIB policy, and TSA policies and procedures.
  • Assists with statistical reports and other documents for DHQ/THQ/funders.
  • Ensures clients receive proper Customer Service while relating to the staff.
  • Assists in ensuring the shelter support services comply with and meets the standards for Quality Assurance & Accreditation.
  • Attends Committee and Agency meetings as directed by the Operations Manager.
  • Participates in the Policy Review Committee.
  • Conducts tours of the building for groups or individuals as requested.
  • Assists the Director with the creation of the budget.
  • Conducts Performance Review and Evaluation annually.
  • Assists with staff training in accordance with facility policy.
  • Documents supervision meetings with team members, ensuring they are accurate and up to date.
  • Completes shift schedules in accordance with current policies and legislation.
  • Runs/assists with the full cycle recruitment of team members, including orientation for all staff in areas under scope (food service, business, facility).
  • Monitors and notifies the Operations Manager of staff training needs in accordance with policies.
  • Communicates continually and effectively with team members and is an active and cooperative team member.
  • Participates in case management meetings, in-house training, and in ongoing development of relevant skills/knowledge as they intersect with areas under scope.
  • Ensures all contact with donors, staff, volunteers, and the general public are courteous and professional.
  • Networks and refers to The Salvation Army, government, and community social service providers to coordinate resources for the benefit of guests and programs when necessary.
  • Adheres to standards consistent with the values and philosophy of The Salvation Army.
  • Practices The Salvation Army professional code of ethics and communicates and cooperates with all co-workers, partners, and clients in a respectful, open, and honest manner, maintaining confidentiality at all times.
  • Participates in the creation of annual operating budgets for the program.
  • Reviews financial statements monthly with Interim Operations Manager to ensure adherence to budget.
  • Demonstrates understanding of funder agreements, services, and funder expectations.
  • Handles minor material responsibilities, including access to confidential information and responsibility for proper usage of equipment.
  • Uses or maintains organization assets in accordance with established guidelines.
  • Ensures proper use of, and tracking of, various gift cards, vouchers, and tickets as directed by the Leaders and related policies.
  • May handle cash and credit card.
  • Uses and maintains organization Ministry Unit assets in accordance with established guidelines.
