About The Position

The Contract Specialist manages the full lifecycle of an agreement. They facilitate the contract administration process for their assigned department(s), including research and analysis, drafting and preparing, negotiating and overseeing contracts within our Contract Lifecycle Management software. The Contract Specialist is responsible for providing the initial review of an agreement and then routing for appropriate approvals. They must use critical thinking and detailed communication skills to request changes with vendors, then prepare final drafts for signatures. They will also distribute final agreements to the vendor and request all pertinent supporting documentation (BAA, W9, PO’s, SOW, etc.). They provide excellent communication to internal and external vendors, managers and leadership teams regarding status of an agreement undergoing a review process. They maintain and update their assigned contract database and will generate and analyze various reports. Additional responsibilities include drafting contract amendments, term extensions and letters, following up on outstanding signatures and facilitating communication regarding contract issues. They will also attend contract review meetings as assigned and participate in special projects to support the organization’s contracting objectives. The primary focus of this position is on either IT or general contracts; however, will assist with all contracts (physician, IT, general) as needed.

Requirements

  • Three years working in an office environment performing general clerical duties including experience utilizing computers and Microsoft Office programs OR Associates degree of higher in Business Administration, Legal Studies, Finance or related field.
  • Demonstrated ability in managing multiple priorities simultaneously while maintaining accuracy, compliance and required expectations.
  • Strong critical thinking skills.
  • Ability to analyze contract terms, identify potential risks, evaluate complex situations, exercise sound judgment, and develop effective solutions while ensuring compliance with organizational policies and procedures.
  • Excellent communication skills, with the ability to establish and maintain positive working relationships and interact professionally with Senior Team, managers, employees, physicians, consultants, attorneys, vendors, and other internal and external stakeholders.
  • Exceptional written and verbal communication skills, including strong grammar, punctuation, spelling, and document formatting abilities.
  • Strong organizational and time management skills.
  • Ability to effectively prioritize multiple assignments, manage competing deadlines, and maintain a high level of accuracy in a fast-paced environment.
  • Ability to independently manage work, follow through on detailed tasks, and adapt to changing priorities.
  • High degree of professionalism, sound judgment, discretion, and the ability to maintain strict confidentiality at all times.
  • Must comply with HIPAA regulations and all organizational policies and procedures related to privacy, confidentiality, and information security.

Nice To Haves

  • Working knowledge of contract administration concepts, contract terminology, terms & conditions, risk identification and standard contracting practices.
  • Experience working in a healthcare or hospital environment.
  • Experience using a Contracts Management system.
