Pacific Life is seeking a talented Contract Administrator to join their Global Procurement Solutions Team. This role provides support to Sourcing across the contract lifecycle, ensuring compliance with company policies and efficient management of contract and supplier information. The position is based in Newport Beach, CA. Requirements

  • Previous experience in contract administration, paralegal duties, or similar legal or procurement support roles.
  • A strong working knowledge of contracts and relevant terms and the Procurement process, including familiarity with third-party risk concepts.
  • Ability to complete high volume of complex tasks and projects with minimal guidance.
  • React with appropriate urgency to situations and events that require quick response or turnaround.
  • Strong written and verbal communication skills to effectively collaborate with Procurement, Legal, TPRM, stakeholders, and suppliers.
  • Ability to collaborate effectively with internal teams.
  • Excellent attention to detail and organizational skills.
  • A high level of competence, integrity and discretion in handling highly confidential information and professionalism in dealing with senior professionals.
  • Experience working cross-functionally with Finance, Risk, and Information Security teams.
  • Strong organizational skills and the ability to track numerous high value dates and projects.
  • Can-do attitude with initiative and follow-through.
  • Ability to work in a rapidly changing environment.
  • Demonstrated experience in working with various types of contracts such as Statements of Work (SOWs), Master Services Agreements (MSAs), Non-Disclosure Agreements (NDAs) in support of categories such as Professional Services, Consulting, Marketing, Human Resources, and Facilities.

Nice To Haves

  • Experience with Coupa and Archer IRM platforms.
  • Previous relevant experience within the financial services and/or insurance industry.

Responsibilities

  • Preparing, reviewing, and processing legal documents using approved templates.
  • Performing due diligence on incoming contracts to ensure compliance to Pacific Life policies.
  • Analyzing and organizing contract and supplier information/metadata in Coupa.
  • Maintaining accurate and up-to-date contract records in Coupa.
  • Facilitating contracts through legal reviews and the Third Party Risk Management (TPRM) Archer IRM process.
  • Analyzing, identifying, and reducing potential risks in low-risk and/or low-dollar contracts.
  • Liaising with Office of the General Counsel (OGC) and internal stakeholders to discuss contract strategy.
  • Negotiating and preparing terms of low-risk and/or low-dollar contracts, both with internal and external parties.
  • Coordinating contract progress and required information with internal stakeholders, TPRM, and supplier through contract execution.
  • Managing day-to-day contract needs of Sourcing including following up on pending items needed to complete contracts.
  • Cleaning up and maintaining supplier contract records to ensure accurate and complete data, documents on file, correct nomenclature, relevant correspondence, etc.
  • Ensuring contract templates are updated as needed, per OGC, and shared with Procurement team.
  • Processing and managing merger and acquisition notices with Accounts Payable.
  • Interfacing with Accounts Payable to resolve any payment issues on contracts.
  • Tracking contract expiration and renewals, ensuring timely action and documentation.
  • Providing support for audits and coordinating requested audit related documentation, as needed.
