About The Position

The Contract Administrative Support role plays a vital role in supporting the contract management team by executing and tracking routine contract and subcontract documentation. This is an entry-level administrative position focused on processing, distributing, and maintaining contract documents, working in support of the Contract Manager who oversees contract development and execution.

Requirements

  • High school diploma or GED
  • 1–3 years of administrative or office support experience preferred
  • Strong attention to detail and organizational skills
  • Ability to follow defined processes and complete tasks from start to finish
  • Experience with Microsoft Office Suite (Word, Excel, Outlook) and DocuSign or similar document management systems preferred
  • Familiarity with B2G/ADOT DOORS, or similar reporting systems is a plus
  • Exposure to subcontractor labor compliance, certified payroll, or wage determinations is a plus
  • DOT (Department of Transportation) agency experience is a plus
  • Strong communication skills and ability to coordinate across teams
  • Ability to manage multiple tasks in a fast-paced environment
  • Maintaining confidentiality and handling sensitive information with discretion is often required

Responsibilities

  • Prepare and send subcontracts and related documents via DocuSign or similar platforms based on provided information
  • Track contract and subcontract status to ensure timely execution and follow up as needed
  • Maintain organized digital filing systems for contracts and supporting documentation
  • Complete standard, routine industry forms with accuracy
  • Distribute executed documents to internal teams and external partners
  • Ensure all contracts are properly signed, saved, and routed to appropriate parties
  • Assist with processing subcontractor pay applications, including tracking submissions and supporting documentation
  • Assist with basic reporting and data entry in systems such as B2G, ADOT DOORS, or similar agency platforms
  • Support subcontractor labor compliance efforts, including collecting and tracking certified payroll documentation
  • Support established workflows and procedures to ensure consistency and accuracy
  • Coordinate with internal teams to confirm documentation is complete and up to date
  • Handle sensitive information in a confidential manner
  • Perform other duties as assigned
