About The Position

Applicants seeking short-term or part-time work with the University of Hawaii may apply for Casual Hire appointments, which include administrative, professional, and technical (APT) or instructional-type positions. Because of the temporary nature of these appointments, Casual Hire employees are not eligible for most benefits provided to regular Board of Regents or Civil Service employees. Casual Hire appointments may last for up to 89 days for full-time employees, and up to 1 calendar year for part-time employees.

Requirements

  • Possession of a baccalaureate degree and 1 year(s) of progressively responsible professional experience with responsibilities for public assistance and/or project management; or equivalent education/training or experience.
  • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the coordination of non-credit programs.
  • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.
  • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team members and individuals.
  • Demonstrated ability to operate a personal computer and apply word processing software.
  • Any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

Nice To Haves

  • Functional knowledge of principles, practices and techniques in professional or community course development demonstrated by knowledge, understanding and ability to apply concepts, terminology.
  • Functional knowledge and understanding of principles, theories, federal and state laws, rules, regulations and systems associated with continuing education.
  • Familiarity with Excel, Google Sheets or similar spreadsheet software.
  • Familiarity with Adobe Acrobat software.
  • Valid Driver's License.

Responsibilities

  • Plan, develop, implement, and evaluate strategies that support operations.
  • Respond to inquiries regarding non-credit programs.
  • Coordinate with class participants and trainers/instructors about class logistical matters such as scheduling changes, cancellation of classes, class handout preparation, class location changes, etc.
  • Responsible for all aspects of admission and registration including generating regular enrollment data reports for program coordinators.
  • Support office operations with logistics requirements to include but not limited to, reserve classrooms, maintain room charts, coordinate class changes and cancellations, request room changes, and ensure accuracy of class information in Destiny and website.
  • Assist with the maintenance of a master course schedule.
  • Assist with summarizing and tracking evaluation results.
  • Assist with procurement of educational support tools.
  • Monitor spending to ensure conformity with the budget.
  • Manage the use of all equipment needed for training such as audiovisual machines, flip charts, etc., as well as loaner equipment for students.
  • Manage the program's mailing and interest lists.
  • Assist in the marketing and promotion of programs and offerings.
  • Assist with preparation and distribution of all publicity mailings such as brochures and flyers.
  • Keep abreast of UH policies and procedures.
  • Assists with the supervision and training of student employees and summer interns.
  • Position responsible for working on various projects as the need arises or as directed by the Supervisor or designee.
