About The Position

This role exists to support the growing operational complexity of a boutique residential construction and property development business. As multiple projects, vendors, tenants, and internal teams operate simultaneously, the organization needs a highly organized coordinator to manage communication flow, follow-ups, and day-to-day execution. The goal is to reduce operational bottlenecks and ensure that construction and property management activities are coordinated efficiently across all stakeholders.

Requirements

  • Proven experience in construction, preferably residential construction or homebuilding
  • Proven experience coordinating subcontractors and managing vendor bids
  • Background in property management or rental operations is highly preferred
  • Experience working with multiple communication channels (email, SMS, WhatsApp, CRM tools)
  • Strong English communication skills (written and verbal) with attention to detail
  • Strong understanding of residential construction workflows and subcontractor coordination
  • Excellent follow-up discipline and task tracking ability
  • High-level organization and ability to manage multiple moving parts simultaneously
  • Clear and professional communication across diverse stakeholders
  • Proactive problem-solving and ability to work independently
  • Familiarity with Microsoft 365 and Google Workspace tools
  • Strong judgment in prioritizing urgent vs non-urgent operational tasks
  • Computer with at least 8GB RAM, an Intel i5 core processor/AMD Ryzen 5 Processor and up.
  • Internet speed of at least 40MBPS
  • Headset with an extended mic that has noise cancellation and a webcam
  • Back-up computer and internet connection
  • Quiet, dedicated workspace at home
  • Must have a reliable internet connection and a quiet workspace
  • Required to provide own computer with Intel Core i5 or something similar or higher operating system

Responsibilities

  • Coordinate with subcontractors (painters, concrete, and other trades) to request and compare bids
  • Follow up on vendor responses and ensure timely project execution
  • Support scheduling and coordination of on-site construction activities
  • Communicate with property management teams regarding scheduled work and access coordination
  • Coordinate with residents/tenants to minimize disruption during construction or maintenance work
  • Ensure clear communication between stakeholders during property updates or repairs
  • Track, monitor, and follow up on open maintenance and operational tasks
  • Schedule repair appointments and ensure completion of property issues
  • Maintain visibility across multiple ongoing workstreams and deadlines
  • Liaise with project managers on ongoing construction progress and updates
  • Coordinate with accounting teams (including offshore support teams) for financial-related tasks
  • Ensure alignment across departments and smooth task handoffs
  • Manage email inboxes and communications across Gmail, Outlook, WhatsApp, and SMS
  • Organize and prioritize incoming operational requests
  • Provide general administrative support across construction and rental operations
