We are actively seeking qualified candidates for the Construction Office Manager position to join our award-winning team. Position Summary: The Construction Office Manager will oversee general administrative functions and activities. The role requires a professional appearance, organizational skills, ability to provide a high level of customer service, and skills to meet the demands of the management and administrative staff.

Requirements

  • Experience in Microsoft Office Suite (Intermediate).
  • Excellent written and verbal communication skills.
  • 5+ years’ managing experience.
  • High school diploma.
  • Must be able to sit as a desk and/or computer for prolonged periods of time.
  • Must be able to pass a pre-employment drug screen and background check.

Nice To Haves

  • State Notary License or ability to receive one within 6 months.
  • Familiarity with construction industry.
  • 5+ years' experience in AIA billings.
  • 5+ years' experience in prevailing wage billings.
  • 5+ years’ experience with accounting software.
  • Experience managing teams of 10+ employees.

Responsibilities

  • Create and manage monthly American Institute of Architects (AIA) project billings.
  • Track and manage vendor and insurance paperwork for stored materials.
  • Initiate projects in the accounting systems and distribute designated folders to project managers.
  • Prepare prevailing wage documents.
  • Complete lien waivers, notice of commencement and notice of furnishings documents.
  • Oversee employee onboarding and offboarding.
  • Attend company meetings regarding policies and procedures.
  • Manage any assigned office personnel and various office tasks.
  • Execute Accounts Receivable reports and Accounts Receivable follow-up.
  • Assist with scheduling and conducting interviews for new staff.
  • Manage PCI hours and pay, weekly invoices, and communications.
  • Assist with scheduling and execution of company events.
  • Serve as the main point of contact for all office staff.
  • Track and manage contracts, POs and LOIs.
  • Additional duties as assigned.
