About The Position

The Construction Coordinator is responsible for the behind-the-scenes work of construction administration and logistics, ensuring that new Lava Island parks are built on time and efficiently. This role is crucial for keeping paperwork, orders, and logistics moving smoothly so that the field crew can focus on building. The position is detail-heavy, high-volume, and fast-moving, requiring a proactive approach to organization and communication. Success in this role means that builds remain organized and the field team does not have to chase down information or resources.

Requirements

  • Five or more years in project coordination, construction administration, operations administration, or a comparable execution-focused role with heavy documentation discipline.
  • A track record of running multiple concurrent projects or workstreams without losing items in the shuffle.
  • Working proficiency with construction project management software (Procore experience strongly preferred; willingness to become a Procore power user required).
  • Working knowledge of project or workflow tools (Monday, Asana, Smartsheet, or similar).
  • Strong written communication skills for contracts, vendor correspondence, and status updates.
  • Experience working with vendors, subcontractors, or suppliers in an administrative or transactional capacity.
  • Must pass a background check.

  • Experience coordinating travel and accommodations for field-based or traveling staff.
  • Experience in commercial construction administration, retail or hospitality rollouts, or multi-site expansion.

Responsibilities

  • Run construction administration, including sending and tracking subcontractor and vendor contracts through signature and return.
  • Process subcontractor pay applications, routed for approval, to ensure field work is not slowed by paperwork.
  • Manage RFIs, submittments, and project documentation in Procore, in coordination with Superintendents and the Project Manager.
  • Serve as the single source of truth for the status of contracts, orders, receipts, and outstanding items for each park build.
  • Coordinate travel and logistics, including booking and managing hotels and extended-stay housing for field staff.
  • Administer travel allowances and per diems, and reconcile them per project.
  • Adjust travel bookings as schedules shift to ensure field staff are in place when needed.
  • Handle procurement by placing and tracking orders, coordinating with the warehouse for internally stocked items, and confirming complete arrivals.
  • Resolve issues with missing, damaged, or incorrect shipments and manage returns and replacements with vendors and carriers.
