About The Position

TBA Studio is seeking a Construction Administrator to support the successful delivery of projects during the construction phase. This role is ideal for someone who enjoys being highly organized, detail-oriented, and closely connected to both project teams and field activity. You’ll play a key role in keeping projects moving—coordinating documentation, tracking progress, and serving as a central point of communication between internal teams and contractors. This is a great opportunity for someone with construction administration or project coordination experience who is ready to grow within a collaborative, design-focused environment.

Requirements

  • 1-5 years of experience in construction administration, project coordination, or similar role
  • Familiarity with construction documentation and processes
  • Experience working with contractors and project teams
  • Strong organization and follow-through
  • Ability to manage multiple projects at once
  • Clear and professional communication skills
  • Problem-solving mindset with attention to detail

Nice To Haves

  • Bachelor’s degree in architecture, construction management, engineering, or related field preferred
  • Working knowledge of AIA documents is a plus

Responsibilities

  • Support pre-construction and construction activities across multiple projects
  • Coordinate meetings and distribute clear, timely meeting notes
  • Maintain organized project records (RFIs, submittals, change orders, field reports)
  • Track open items and follow up to keep projects moving forward
  • Manage RFI and submittal workflows in coordination with project teams
  • Assist with preparation and distribution of construction documents and contracts
  • Maintain contractor compliance documentation (insurance, bonds, etc.)
  • Review contractor pay applications for accuracy and completeness
  • Coordinate internal review and assist with verification of progress
  • Track and process change orders, including documentation and approvals
  • Conduct periodic site visits to observe progress and document conditions
  • Prepare field reports with photos and key updates
  • Communicate project status, risks, and needs with internal teams
  • Coordinate and complete punch lists and track completion
  • Assist with substantial completion and closeout documentation
  • Compile final project closeout packages
