About The Position

As our Conference Services Manager, you’ll be the architect of extraordinary moments. You’ll take a client’s vision and turn it into a fully immersive Virgin Hotels experience, whether it’s a high-energy product launch, a CEO roundtable with a twist, or a multi-day conference that feels more like a festival. Your work will directly shape how guests remember us, and you’ll be the reason they come back for more.

Requirements

• Current, legal and unrestricted ability to work in the United States.
• 3–5 years of conference or event services experience in luxury, lifestyle, or boutique hospitality.
• Proven track record of managing complex, multi-day events with multiple stakeholders.
• Strong knowledge of event logistics, including room setups, AV requirements, and F&B service flow.
• Experience with event management software (Delphi) and Microsoft Office Suite.
• Exceptional communication, negotiation, and relationship-building skills.
• A creative mindset with the ability to think beyond the standard event playbook.
• A passion for hospitality and a personality that thrives in a fast-paced, guest-focused environment.
• Ability to clearly and pleasantly communicate in English with clients, guests, vendors, teammates/management, in person, in writing and on the telephone.
• Proficient in Teams MS Outlook, Word, Excel and PowerPoint.
• Great team player with the ability to create excellent working relationships across the group.
• Collaborative approach with all departments, particularly food & beverage and of course, the sales & marketing and events team.
• Ability to break down barriers and resolving potential conflicts swiftly and effortlessly.
• Strong communication and presentation skills to all levels of management.
• Creativity and innovation are essential!
• Ability to think outside the box and approach all issues with a completely fresh approach.
• Ability to anticipate needs and over deliver wherever possible.

Responsibilities

• Own the client journey – Serve as the single point of contact from signed contract to final invoice, ensuring a seamless, high-touch experience.
• Design bespoke event plans – Create detailed Banquet Event Orders (BEOs) that capture every element, from custom menus to lighting cues, ensuring the operations team has the information necessary to bring every detail of this clients vision to life.
• Collaborate across departments – Partner with culinary, banquet, AV, housekeeping, and front office teams to deliver flawless execution.
• Lead pre-event planning – Host site inspections, tastings, and pre-conference meetings to align expectations and inspire confidence.
• Manage the business side – Oversee budgets, contracts, and billing with accuracy, transparency, and a focus on profitability.
• Ensure operational excellence – Monitor event execution in real time, troubleshoot on the fly, and maintain Virgin’s service standards at every touchpoint.
