About The Position

The Compliance Specialist supports the Cooperative’s regulatory, operational, and documentation requirements by performing administrative, tracking, verification, and reporting functions under the direction of the Chief Compliance Officer. This role ensures compliance activities are completed accurately, deadlines are met, and records are maintained in an organized, audit-ready condition.

Requirements

  • Associate degree in related field preferred
  • 1–2 years of administrative, policy, or compliance-related experience
  • Ability to plan, organize, and prioritize multiple tasks and work independently to meet deadlines and exercise sound professional judgment
  • Ability to read, analyze, and interpret business documents, technical procedures, and government regulations
  • Strong organizational skills and attention to detail
  • Proficiency with Microsoft Office Suite
  • Possess excellent oral and written communications skills in the English language
  • Possess excellent interpersonal skills including the ability to maintain a harmonious working relationship with all Cooperative employees
  • Possess a valid Texas drivers’ license
  • Insurable with the Cooperative's auto insurance carrier
  • Must be or become certified in first aid and cardiopulmonary resuscitation
  • Must be or become a Notary Public

Responsibilities

  • Assist in drafting, formatting, and updating organizational policies, programs, procedures, and manuals.
  • Maintain the official policy repository and ensure version control.
  • Track policy review cycles and notify responsible departments of required updates.
  • Prepare distribution-ready policy documents and maintain acknowledgment records.
  • Monitor regulatory deadlines, renewal dates, and reporting schedules.
  • Maintain compliance calendars and notify supervisors of upcoming obligations.
  • Prepare draft forms, filings, and supporting documentation for review.
  • Track regulatory changes and help summarize impacts for leadership review.
  • Maintain organized, audit-ready compliance and policy files (digital and physical).
  • Ensure policies, procedures, manuals, and plans are current and properly distributed.
  • Assist with updates to internal compliance documents.
  • Support document retention practices in accordance with policy.
  • Prepare materials for internal and external audits.
  • Gather records, logs, certifications, and evidence needed for inspections.
  • Track corrective actions and follow‑up items as assigned.
  • Conduct basic internal checks (e.g., verifying posted notices, checking expiration dates, confirming documentation completeness).
  • Assist with coordinating compliance and policy‑related training sessions and maintain attendance records.
  • Prepare communication materials summarizing regulatory updates and policy or procedural changes.
  • Respond to routine compliance questions and escalate complex issues.
  • Maintain logs for safety, environmental, utility, or operational compliance.
  • Assist with vendor compliance verification (insurance, certifications, licensing).
  • Provide support to administrative and executive functions and/or tasks as needed.
  • Assist with other duties as assigned.
  • Learn and comply with Cooperative’s safety rules and procedures.
  • Ability to maintain confidential information.
