About The Position

The University of Texas at Austin is seeking a Compliance Program Coordinator to assist in the daily operations of Endowment Services and Gift Compliance (ES&GC). This role involves assisting in strategic planning and serving as a liaison to colleges, schools, and units on projects and functions necessary for endowment compliance mandated activities and other related projects, including non-endowed gift compliance. The coordinator will also assist with endowment and non-endowed gift compliance activities, monitoring, reporting, and tracking, and will train University Development Office and campus colleagues on endowment and non-endowed gift compliance. Additionally, the role will assist with the UTIMCO Financial Reports project and other specialized reports as needed.

Requirements

  • Bachelor’s degree.
  • At least 3 years of related experience.
  • Strong attention to detail.
  • Strong reading comprehension and the ability to interpret donor intent through gift agreements, memos and other legal documents.
  • Ability to see nuance in agreement terms and language, and be able to assess and make decisions when dealing in grey areas.
  • Ability to review and interpret data, accounts, and numbers in an accounting system.
  • Comfortable using Excel and working with spreadsheets and reports.
  • Ability to track and manage multiple projects at various stages simultaneously.
  • Must be flexible and able to prioritize and shift as new work comes in during the day.
  • Ability to manage a high volume of incoming questions and requests for information or approval.
  • Strong interpersonal and communication skills and ability to work with staff of varying personalities and positions.

Nice To Haves

  • Familiarity or prior experience with accounting systems and processes.
  • Prior experience working with endowments.
  • Prior experience with UT policies and systems such as mainframe applications (DEFINE, FRMS, etc.) and VIP.

Responsibilities

  • Assist Director of Compliance & Reporting to plan, organize, and implement annual review of UT Austin endowments to ensure institutional compliance on expenditures and appointments, utilizing the UT Mainframe, VIP database, FileMaker Pro, and other systems.
  • Implement compliance monitoring activities, including design, entry, and maintenance of tracking documents and/or databases.
  • Review, approve and track co- sponsorships, transfers, and sub accounts for endowment operating accounts.
  • Communicate with appropriate college/school/unit personnel regarding identified compliance questions.
  • Assist in identifying and developing other endowment and gift reporting needs and liaison with staff in CSUs.
  • Prepare and proof quarterly and annual reports regarding compliance activities.
  • Maintain and modify, as needed, compliance-related database and file information.
  • Consult with IT support staff and RAD on compliance-related monitoring and reporting needs.
  • Serve as backup for review and add to VIP Faculty Fellows appointments for professorships and chairs and Holder appointments for faculty fellowships.
  • Manually add staff awardees to VIP; manually add recipients of endowment funds to VIP.
  • In consultation with the Director of Compliance & Reporting and Executive Director, interpret gift and donor endowment policies and administrative issues along with colleges, schools, and UT System Offices.
  • Assist with non-endowed compliance and monitoring.
  • Assist Director of Compliance & Reporting with tracking/monitoring for the Texas Challenge Match.
  • Attend the Executive Compliance Committee meeting and take minutes.
  • Assist with the UTIMCO Financial Reports project.
  • Request transfers of funds and withdrawals to/from UTIMCO, and between accounts.
  • Additional duties as assigned.
