About The Position

Under the direction of the Director of Facilities Management, this role provides administrative support services to facilitate compliance with regulatory and accreditation body standards. The Compliance Coordinator performs a wide range of administrative and office support activities for Facilities Management functions and/or other HAMC functions to facilitate the efficient operation of the organization. The position requires performing all job responsibilities in alignment with the mission and vision of the organization, and other duties as required and completes all job functions as per departmental policies and procedures. The role also involves maintaining current knowledge in present areas of responsibility through self-education and ongoing educational programs, attending staff meetings, and completing mandatory in-services and requirements and competency evaluations on time. Wearing protective clothing and equipment as appropriate is also a requirement.

  • Ability to comprehend and communicate complex verbal information in English with staff and customers.
  • Advanced skills with Microsoft applications which may include Outlook, Word, Excel, PowerPoint, Access and/or other web-based applications. May produce complex documents, perform analysis, and maintain databases.

  • High School diploma or GED.
  • Two (2) years data processing experience required.
  • Able to communicate in English, both verbally and in writing.

Nice To Haves

  • Course work or other appropriate trades training is desirable.
  • Hospital or medical information systems experience preferred.
  • Experience with healthcare accreditation (CMS, DNV, Joint Commission) policies and procedures a plus.
  • Additional languages desirable.

Responsibilities

  • Performs all job responsibilities in alignment with the mission and vision of the organization.
  • Performs other duties as required and completes all job functions as per departmental policies and procedures.
  • Maintains current knowledge in present areas of responsibility (i.e., self-education, attends ongoing educational programs).
  • Attends staff meetings and completes mandatory in-services and requirements and competency evaluations on time.
  • Wears protective clothing and equipment as appropriate.
  • Interacts with employees, vendors and others to provide and process information in response to inquiries and concerns related to Facilities Management operations.
  • Provides Facilities Management with word processing support and assists with departmental policies and plans for the electronic document management system.
  • Prepares and modifies documents including correspondence, reports, memos and emails.
  • Assists with meeting agendas, compiles, transcribes, and distributes meeting minutes.
  • Assists Facilities Management in the creation and maintenance of a systematic tracking and retrievable system for the storage and maintenance of the required regulatory and accreditation documents.
  • Assists with the compilation and submission of physical environment quality measurement data reports and corrective action plans to the Quality Management and Accreditation departments within the hospital and nursing home.
  • Provides support for Facilities Management maintenance requests and tracking.
  • Assists Director in fulfillment of Emergency Operation Planning for the organization.
  • Maintains professional and technical knowledge by attending educational workshops.
  • May perform other assigned duties as position evolves or as needs are identified by CEO.
  • Assists with scheduling of vendors to ensure compliance with standards and necessary repairs.
  • Maintains written and electronic records demonstrating compliance with standards.
  • Participates in committees, research and special projects.
  • Follows precedents and procedures. May set priorities and organize work within general guidelines. Seeks assistance when confronted with difficult and/or unpredictable situations. Work progress is monitored by supervisor/manager.
