About The Position

The Compliance & Insurance Program Coordinator is responsible for coordinating the Company's insurance compliance programs, with a primary focus on Owner Controlled Insurance Programs (OCIPs), Contractor Controlled Insurance Programs (CCIPs), and related project compliance requirements. This position serves as the central point of coordination between Legal, Risk Management, Human Resources, Payroll, Operations, Project Management, Accounting, and Insurance to ensure projects remain compliant, payroll reporting obligations are satisfied, customer requests are addressed promptly, and payment delays related to compliance issues are minimized. This position reports directly to the Legal Department, with a dotted-line reporting relationship to Human Resources/Payroll due to the significant payroll reporting and compliance responsibilities associated with the role. The ideal candidate is highly organized, detail-oriented, solutions-oriented, and enjoys collaborating across multiple departments to solve problems and support successful project execution. Insurance experience is helpful but not required. we are looking for someone with a strong work ethic, excellent organizational skills, and a willingness to learn.

Requirements

  • Associate's degree or equivalent work experience preferred.
  • Strong organizational, coordination, and administrative skills.
  • Excellent attention to detail.
  • Strong written and verbal communication skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Strong analytical and problem-solving abilities.
  • Proficiency with Microsoft Office, particularly Excel, Word, and Outlook.

Nice To Haves

  • Experience in construction, building materials, manufacturing, or a related industry.
  • Experience supporting compliance, payroll, project accounting, contract administration, risk management, or insurance administration.
  • Familiarity with OCIP/CCIP programs or construction insurance.
  • Experience with ERP, payroll, or project management software.

Responsibilities

  • Coordinate enrollment of projects and employees into OCIP and CCIP programs.
  • Maintain project enrollment records and ensure all required documentation is complete and submitted timely.
  • Monitor compliance with insurance program requirements throughout the life of each project.
  • Serve as the Company's primary internal coordinator for OCIP/CCIP administration.
  • Coordinate with Payroll, Human Resources, Risk Management, Operations, and Project Management to satisfy payroll reporting requirements associated with OCIP/CCIP projects.
  • Assist with preparation and coordination of payroll information required for insurance reporting and audits.
  • Support insurance audits by gathering payroll, labor, and project documentation.
  • Track reporting deadlines and proactively follow up to ensure timely completion.
  • Provide administrative and reporting support to the prevailing wage compliance team.
  • Coordinate requests involving payroll records, labor classifications, and supporting project documentation.
  • Help maintain accurate records necessary to support prevailing wage compliance.
  • Coordinate responses to customer inquiries relating to insurance compliance, OCIP/CCIP participation, payroll reporting, and project documentation.
  • Work with Legal, Risk Management, and Insurance teams to provide certificates of insurance, enrollment documentation, and other requested compliance materials.
  • Help resolve customer questions regarding insurance program participation and compliance obligations.
  • Partner with Project Accounting to identify and resolve payment holds resulting from insurance compliance or documentation issues.
  • Coordinate with internal departments to obtain missing information necessary to release payment holds.
  • Track outstanding compliance issues and proactively drive them to resolution.
  • Act as a liaison among: Legal, Risk Management, Human Resources, Payroll, Operations, Project Management, Accounting, Insurance Brokers and Carriers.
  • Foster strong working relationships across departments to facilitate communication and improve project execution.
  • Recommend process improvements that increase efficiency and strengthen compliance.
