About The Position

The Compliance Analyst is responsible for ensuring that client insurance requirements are met and maintained across assigned accounts. The role reviews Certificates of Insurance and coverage documentation against established compliance criteria and client requirements, manages renewal tracking and certificate follow-up, and coordinates with insurance agents, management companies, and other external partners to obtain and correct documentation. Operating in a fast-paced, high-volume environment, the Compliance Analyst reviews and interprets insurance policies against required standards, documents deficiencies, escalates complex or non-standard issues to senior compliance colleagues, and prepares monitoring reports for internal and client review. The role protects the interests of the firm and its clients by working accurately within established procedures and maintaining audit-ready documentation.

Requirements

  • Working knowledge of commercial and personal insurance coverage types, policy structures, and Certificate of Insurance requirements.
  • Ability to read and interpret insurance policies, endorsements, and property master lists against established standards and checklists.
  • Ability to identify and document coverage deficiencies accurately and to escalate complex or non-standard issues appropriately.
  • Strong attention to detail and accuracy when reviewing coverage and documenting compliance findings.
  • Ability to manage multiple renewal cycles and competing deadlines in a fast-paced, high-volume environment.
  • Proficiency with Microsoft Office (Outlook, Excel, and Word) and the ability to learn agency management and certificate-tracking systems, such as Applied Epic or comparable platforms.
  • Strong written and verbal communication skills for coordinating with insurance agents, management companies, and clients.
  • Reviews coverage and documentation against contractual and program insurance requirements using established criteria, identifies non-compliance, and follows compliance procedures to obtain corrections.
  • Manages certificate intake, renewal requests, and document maintenance across the client servicing and document management systems.
  • Produces monthly compliance monitoring reports and maintains accurate, audit-ready records of certificate status and resolution activity.
  • Runs the renewal and follow-up cadence reliably, working expiration reports and outstanding-certificate queues to keep assigned accounts current.
  • Checks that Certificates of Insurance and coverage terms meet the insurance requirements outlined in client agreements, and flags gaps for correction or escalation.
  • Reviews insurance policies, endorsements, and coverage terms against required standards to confirm certificates are in order.
  • Handles compliance findings and client documentation with integrity and discretion, consistently doing what they say they will do so agents, clients, and colleagues rely on their work.
  • Meets renewal, follow-up, and reporting deadlines consistently, keeping assigned accounts in compliance.
  • Works through routine coverage discrepancies using established criteria and checklists, and knows when to escalate complex issues.
  • Provides reliable, responsive service to clients and external partners, giving them confidence that insurance requirements are being tracked.
  • Follows up clearly and professionally by email and phone, and communicates compliance status in a timely, well-documented way.

Nice To Haves

  • Bachelor’s degree preferred, or an equivalent combination of education and work experience.
  • 3-5 years of experience in insurance certificate or coverage review, compliance support, account servicing, or a related insurance operations function preferred.
  • Experience reviewing Certificates of Insurance or contractual insurance requirements preferred.
  • Proficiency with the Microsoft Office Suite (Outlook, Excel, Word); experience with agency management or certificate-tracking systems preferred.

Responsibilities

  • Review project and account insurance coverage against the requirements outlined in client agreements, using established compliance criteria and checklists.
  • Validate that coverages listed on Certificates of Insurance meet required standards, limits, and specifications, and identify and document any deficiencies or non-compliance.
  • Review and interpret insurance policies and property master lists against required standards, escalating complex or non-standard coverage questions to senior compliance colleagues or leadership.
  • Compile requests for waivers of insurance requirements and route them, with supporting documentation, to the appropriate leader or account team for approval under established guidelines.
  • Proactively manage insurance renewals by running monthly expiration reports approximately 30 days prior to renewal dates.
  • Monitor outstanding renewal documents and conduct timely follow-ups: 10 days prior to the due date for pending certificates, 5 days after the due date, and every two days thereafter by email and/or phone until receipt.
  • Generate and distribute renewal request letters to insurance agents and management companies through the client servicing system, email, or fax.
  • Upload and maintain current Certificates of Insurance for compliant policies within the client’s document management system.
  • Collaborate with insurance agents and management companies to obtain corrected documentation and resolve routine non-compliant coverage issues.
  • Serve as a point of contact for standard coverage-compliance questions from clients and external partners, escalating complex or unresolved matters as needed.
  • Prepare and submit monthly reports summarizing monitoring activities, including outstanding certificates and properties that are not in compliance with insurance requirements.
  • Maintain accurate, audit-ready records of compliance status, partner communications, and resolution actions.
