About The Position

This position schedules and coordinates multiple interdependent patient appointments across departments in accordance with clinically defined pathways, provider protocols, and timeframes. Supports patients undergoing complex diagnostic, procedural, or treatment plans where sequencing, timing, and coordination are critical to care delivery. Requirements

  • Minimum of one (1) year of healthcare scheduling, patient access, or care coordination experience required.
  • Proficiency with EHR and scheduling systems required.
  • Strong working knowledge of healthcare workflows and medical terminology required.
  • Ability to act with integrity, kindness, and exhibit empathy.
  • Excellent organizational skills, detail-oriented, a self-starter, possess critical thinking skills and be able to set priorities and function as part of a team as well as independently.
  • Commitment to working in a team environment and maintaining confidentiality as needed.
  • Excellent verbal and written communication skills including the ability to communicate effectively with various audiences.
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.
  • Possess and maintain computer skills to include working knowledge of Microsoft Office Suite and ability to learn other software as needed.

  • Experience in oncology, surgical services, interventional specialties, or other complex care environments preferred.

Responsibilities

  • Schedules multiple related appointments that must occur in a specific sequence and timeframe based on clinical requirements.
  • Interprets provider orders, treatment plans, and clinical workflows to ensure appointments are aligned with care protocols.
  • Proactively identifies scheduling conflicts, delays, or barriers and works with clinical and operational teams to resolve them.
  • Serves as a liaison between patients, providers, nursing staff, and ancillary departments to ensure care plans are executed as intended.
  • Escalates urgent or time-sensitive scheduling issues appropriately to maintain continuity of care.
  • Provides clear, compassionate communication to patients regarding appointment sequences, preparation instructions, and timelines.
  • Adjusts schedules in response to patient condition changes, treatment modifications, or provider direction.
  • Accurately documents scheduling activities in the EHR and scheduling systems.
  • Ensures compliance with organizational policies, regulatory requirements, and departmental guidelines.
  • Identifies opportunities to improve scheduling workflows, reduce delays, and enhance patient experience.
  • Maintains regular and consistent attendance as scheduled by department leadership.
