About The Position

The Community Programs Administrative Coordinator provides high-level administrative and operational support to the Self Direction, Supported Employment, Community Habilitation, Respite and Day Habilitation Department. This position serves as a central coordination point across all community programs, helping ensure efficient operation, accurate documentation, timely communication and regulatory compliance. The role works closely with program directors and coordinators, and leadership to support daily operation, reporting, project coordination, outreach activities and strategic initiatives. Success in this position requires strong organization, attention to detail, discretion, professionalism, and the ability to manage multiple priorities in a fast-paced environment.

Requirements

  • Minimum 3 years in administrative experience.
  • Proficient in computer programs such as Word/Excel/PowerPoint
  • Working Knowledge of OPWDD services and supports.
  • Excellent written, communication and inter-personal skills
  • Must have the ability to self-initiate, organize, and problem solve tasks.
  • Must be able to manage multiple assigned tasks and meet deadlines.

Responsibilities

  • Assist in managing and tracking Employee training to support all Community Program Staff.
  • Coordinate the collection, review, distribution, and tracking of required documentation for participants, families, staff, and external partners to support timely completion of program and compliance requirements.
  • Provide comprehensive administrative and operational support.
  • Support participant intake and administrative processes by maintaining required documentation, and assisting with onboarding activities.
  • Create staff enrolments and profiles on eVero.
  • Develop, maintain, and manage operational reports, Power BI reports, key performance indicators, operational data, and performance metrics to support leadership review, strategic planning, and data-driven decision-making.
  • Review and submit Electronic Visit Verification compliance records.
  • Prepare professional correspondences, presentations, meeting materials and organizational communications in support of our initiatives and special projects.
  • Monitor compliance reports and operational data and tracking outstanding items in a timely manner.
  • Manage and report on tracking system data for evaluations, trainings, and EVV.
  • Assist with the preparation and distribution of reports, presentations, and other materials for internal team members.
  • Act as a point of contact between employees, families, external vendors, ensuring effective communication and resolving inquiries or issues.
  • Assist with onboarding process, which may include scheduling interviews, screening candidates, and coordinating new hire orientations.
  • Provide support in various projects and initiatives, including data reports, family presentations and workshops.
  • Collaborate with cross-functional teams and departments to ensure smooth operations and promote a positive working environment.
  • Participate in the compliance with all pertinent government regulations, policies, procedures, and operating standards.
  • Actively engage in departmental meetings as needed.
  • Implement quality improvement process for program services and administrative functions.
  • Provide administrative and logistical support for program initiatives, resource fairs, open houses, meetings, and other events that promote internal and external partnership.
