About The Position

The Community Manager is the face of Hegenes Management, Inc. and is fully accountable for all day-to-day property operations, overseeing and enhancing the value of the property. This is a leadership role — you set the tone for your team, your residents, and the standard of service that defines Hegenes.

  • Understand the property’s financial goals and operate assets in the owners’ best interest.
  • Maintain accurate records of all community transactions.
  • Prepare annual budgets and income projections.
  • Ensure all rents and late/check charges are collected, posted, and deposited.
  • Generate necessary legal action, documents, and process.
  • Maintain consistent vendor/contractor communication.
  • Ensure A/P invoices are submitted to the corporate office for payment.
  • Handle petty cash and all funds responsibly.
  • Ensure the property is rented to fullest capacity.
  • Use effective marketing strategies to secure prospective residents.
  • Confirm that leasing staff techniques are effective in closing.
  • Confirm that leasing staff gather and file information about local market competition.
  • Monitor and analyze traffic logs, conversion ratios, budget guidelines, renewal information, and marketing data.
  • Represent the company in a professional, welcoming manner at all times.
  • Prepare and/or implement procedures and systems within company guidelines.
  • Confirm all leases and corresponding paperwork are completed and accurately entered into the software system.
  • Ensure current resident files are properly maintained.
  • Ensure all administrative paperwork is accurate, complete, and submitted on time.
  • Lead the emergency team for the community.
  • Address resident concerns and requests promptly.
  • Develop and/or implement resident retention programs.
  • Ensure distribution of all company- or community-issued notices.
  • Consistently implement the policies of the community.
  • Use proven techniques and company directives to screen, hire, orient, and train new personnel.
  • Ensure staff effectiveness through ongoing training, instruction, counseling, and leadership.
  • Plan weekly/daily office staff schedules and assignments.
  • Coordinate the maintenance schedule and assignments with the Maintenance Supervisor.
  • Administer action plans consistently and promptly for performance problems.
  • Support staff to encourage teamwork, and lead by example.
  • Ensure all personnel-related administrative processes are handled on time.
  • Maintain community appearance and ensure repairs are noted and completed on time.
  • Assure the quality and quantity of market-ready apartments.

Responsibilities

  • Understand the property’s financial goals and operate assets in the owners’ best interest, in accordance with the Policies & Procedures Manual.
  • Maintain accurate records of all community transactions and submit them on time (rent rolls, delinquency reports, move-ins/move-outs, etc.).
  • Prepare annual budgets and income projections accurately and on time.
  • Ensure all rents and late/check charges are collected, posted, and deposited accurately and on time.
  • Generate necessary legal action, documents, and process in accordance with state and company guidelines.
  • Maintain consistent vendor/contractor communication regarding scheduling, billing, vendor relations, and certificates of insurance.
  • Ensure A/P invoices are submitted to the corporate office for payment, and handle petty cash and all funds responsibly.
  • Ensure the property is rented to fullest capacity.
  • Use effective marketing strategies to secure prospective residents.
  • Confirm that leasing staff techniques are effective in closing.
  • Confirm that leasing staff gather and file information about local market competition.
  • Continually monitor and analyze traffic logs, conversion ratios, budget guidelines, renewal information, and marketing data to provide accurate, up-to-date information when requested.
  • Represent the company in a professional, welcoming manner at all times.
  • Prepare and/or implement procedures and systems within company guidelines to ensure orderly, efficient workflow.
  • Confirm all leases and corresponding paperwork are completed and accurately entered into the software system on time.
  • Ensure current resident files are properly maintained.
  • Ensure all administrative paperwork is accurate, complete, and submitted on time.
  • Lead the emergency team for the community — ensuring proper response to all emergencies involving staff, residents, and buildings within company guidelines to minimize liability (criminal activity, employee/resident injuries, fires, floods, freezes, etc.).
  • Address resident concerns and requests promptly to ensure satisfaction with management.
  • Develop and/or implement resident retention programs (resident functions, special promotions, monthly newsletters, etc.).
  • Ensure distribution of all company- or community-issued notices (bad weather, emergencies, etc.).
  • Consistently implement the policies of the community.
  • Use proven techniques and company directives to screen, hire, orient, and train new personnel.
  • Ensure staff effectiveness through ongoing training, instruction, counseling, and leadership.
  • Plan weekly/daily office staff schedules and assignments.
  • Coordinate the maintenance schedule and assignments with the Maintenance Supervisor.
  • Administer action plans consistently and promptly for performance problems; document appropriately, communicate with the Regional Manager and HR Director, and terminate properly when necessary.
  • Support staff to encourage teamwork, and lead by example in creating a harmonious environment.
  • Ensure all personnel-related administrative processes (performance evaluations, salary reviews, timesheets, change-of-status forms, etc.) are handled on time.
  • Maintain community appearance and ensure repairs are noted and completed on time, through regular inspections and tours.
  • Assure the quality and quantity of market-ready apartments.
