About The Position

The Community Manager is responsible for the day-to-day operations of the assigned property, including managing team members, daily activities, and resources to achieve established budgeted financial and operational goals. This role ensures compliance with Company policies, Fair Housing, ADA, FCRA, and other relevant regulations. The Community Manager also manages resident support, including leasing, new resident assistance, maintenance requests, accounting, move-in/move-out duties, and other resident-related functions. This position requires living on-site with a 1/3 rent discount.

Requirements

  • Strong interpersonal skills and the ability to work under time constraints
  • Strong project management, analytical and research skills with a demonstrated ability to manage projects from inception through completion
  • 5+ years of property management experience; multi-unit experience a plus.
  • Excellent oral and written communication skills
  • Experience in supervisory role and managing staff
  • Proficient in Appfolio property management software or other similar property management software
  • General office, bookkeeping and sales skills
  • Computer literate, including Microsoft Office Suite
  • Must be detail oriented and able to focus with frequent interruptions
  • Maintains confidence and protects operations of business by keeping information confidential
  • Ability to operate in an open work area with moderate everyday noise
  • Ability to work from multiple locations
  • Ability to perform other duties as required
  • Regularly required to sit, stand, walk, talk, hear, and reach using feet, legs, back, arms and hands.
  • Occasionally required to climb.
  • Required to work at a personal computer and talk on the phone for extended periods of time.
  • Must possess the ability to detect auditory and/or visual alarms
  • Available to work extended/flexible hours and weekends, as needed.
  • Regular attendance and active participation/planning at company functions and events is also required.

Responsibilities

  • Be the point-of-contact for all potential, new and current residents for site visits, leasing duties, rental inquiries and processing, property tours, rent collection, reporting and maintenance issues.
  • Respond to all guest card inquiries within 24 hours and schedule showings through the Appfolio Leasing CRM.
  • Maintain high occupancy and rent levels in accordance with the property specific plan.
  • Achieve the community’s resident satisfaction and retention goals by ensuring resident complaints and/or concerns are resolved in a timely manner, and by answering questions concerning rent and fee payments.
  • Complete call-backs on all service requests within 24 hours to ensure customer satisfaction.
  • Develop, produce and coordinate resident communications, including newsletters, surveys, lease violation letters, and other communications.
  • Organize and coordinate resident functions, including parties, birthday cards, welcome parties, and unit visits.
  • Evaluate the appearance and overall curb appeal, landscape, office environment and vacancies daily and ensure the leasing office, tour path and model(s) are ready for show daily.
  • Check the answering service throughout the day for messages and return calls as necessary.
  • Provide input into the development of budget(s) for the property by analyzing financial statements, reviewing marketing information, and accessing operational reports.
  • Meet targeted revenues by setting rent rates, ensuring rent and fees are collected and posted in a timely manner, making financial bank deposits, and preparing and reviewing monthly financial status reports.
  • Approve and input invoices from vendors, contractors, and service providers for payment by reconciling work performed or products purchased and managing communication between parties.
  • Control expenditures by staying within the constraints of the approved budget and manage the balance and maintenance of the petty cash fund.
  • Oversee the lease enforcement process by approving prospective resident applications, discounts and renewal leases, conducting periodic apartment inspections, following proper notice requirements, evicting residents, and imposing and collecting late fees and other charges.
  • Gather, analyze, and interpret current market and economic trends that may impact the property and implement short- and long-range marketing and leasing strategies.
  • Promote resident satisfaction and retention by responding to complaints, questions, and requests in a timely manner, and taking appropriate action to resolve service issues.
  • Ensure the property’s maintenance team members comply with Company standards for responding to and completing resident service requests and follow up to ensure resident satisfaction.
  • Conduct regular property inspections and take appropriate actions to ensure that the physical aspects of the property, grounds, buildings, model(s) and amenities meet established standards for safety, cleanliness, and general appearance and appeal.
  • Supervise property staff by interviewing, hiring, orienting, and training employees, and manage their performance.
  • Assist in managing the client/owner relationship by meeting with owners, conducting property tours, providing updates and information about the property’s performance, and responding to owner requests.
  • Develop new ideas and programs to enhance events, amenities, and the overall Resident experience.
  • Act as Residents’ primary contact and proactively communicate with them while strengthening relationships by understanding each Resident’s unique lifestyle, preferences, and needs, and ensuring services offered are personalized and of the highest quality.
  • Oversee property maintenance by checking all work orders daily and following up on completion.
