About The Position

Performs responsible administrative and program coordination work in support of nonprofit services, civic engagement initiatives, and volunteer opportunities. Serves as a key liaison between the department, nonprofit organizations, volunteers, committees, and community partners to promote public participation, strengthen community involvement, and support the effective administration of nonprofit funding, contracts, grants, reimbursements, and volunteer-based initiatives.

Requirements

  • Knowledge of City organization, administration, general principles, and public relations.
  • Knowledge of nonprofit organizations.
  • Knowledge of modern office procedures and methods including computers and applicable software, Microsoft Office, QuickBooks, and AS400.
  • Knowledge of executed contract details.
  • Knowledge of English grammar, spelling, and punctuation.
  • Skill in planning, coordinating, organization, and time management
  • Skill in performing a variety of duties, often changing from one task to another of a different nature
  • Ability to create and maintain accurate records
  • Ability to trouble shoot and problem solve
  • Ability to analyze and interpret information
  • Ability to prepare and maintain contracts
  • Ability to effectively communicate both orally and in writing, in English and Spanish

  • Bachelor’s degree from an accredited college or university in Business Administration or related field
  • At least four (4) years of experience in administrative support or related field
  • Council of Higher Education Accreditation (C.H.E.A.)
  • Valid Texas Driver License. If applicant holds an out-of-state license, a State of Texas Driver License must be obtained within 6 months of employment.
  • Thorough background check and certified school transcripts will be required from all applicants who are offered employment.
  • Drug and alcohol test prior to employment.
  • Must be able to function in a principle-based organization that has a culture built on character and core values.

Responsibilities

  • Coordinates 3rd Party Application process.
  • Reviews volunteer applications and coordinates with eligible volunteer sites for placement and maintenance of volunteer hours.
  • Advertises and promotes Volunteer Center and Department through CD social media outlet.
  • Processes requests for reimbursement, prepares council communications, prepares and conducts presentations/trainings and assists with budgetary items.
  • Reviews, analyzes, and assists in the preparation of the department budget; provides recommendations to the department director regarding budget adjustments.
  • Serves as the primary point of contact for departmental webpage updates and coordinates with the Public Information Office on website content, flyers, event promotion, and other communication materials to ensure information is accurate, timely, and consistent with department messaging.
  • Coordinates Committee/Board Meetings, including scheduling, preparing agendas, transcribing minutes, and compiling necessary documents.
  • Organizes and participates in special projects as directed by management.
  • Assists with grant applications, research, record maintenance, and report submission as requested.
  • Performs outreach and public relations functions; speaks to community groups, civic organizations and schools about the City Volunteer Program.
  • Responsible for the administrative and operational oversight of assigned grants.
  • Prepares requests for payments from contractors in order to comply with grant funded programs.
  • Prepares contracts and bid specifications.
  • Assist in writing procedure manual and policy guidelines to improve and ensure programs have clear and defined rules and objectives.
  • Serves as direct liaison between nonprofits and City to ensure 3rd Party Funding contracts are adhered to and agencies provide the agreed upon services.
  • Receives inquiries from the public by letter, telephone, or in person and furnishes information or directs the inquiry to the proper source of answer.
  • Assists in maintaining good communication between staff, visitors, and other business contacts.
  • Will be required to drive a City vehicle for city business use.
  • Performs related work as required.
