About The Position

As a Community Administrator, you will play a key role in ensuring the smooth day-to-day operations of the property while fostering a welcoming and responsive resident experience. This position is central to supporting operational excellence, managing resident relations, and upholding community standards through proactive communication and administration.

Requirements

  • College or university education in a business-related field is an asset.
  • Minimum 1 year of residential property management experience preferred.
  • Intermediate skills in Microsoft Office; experience with Yardi is an asset.
  • Strong verbal and written communication; professional phone manner; ability to build trust with diverse stakeholders.
  • Detail-oriented, able to manage multiple priorities and tight deadlines with minimal supervision.
  • Strong problem-solving skills, strategic thinking, and adaptability.
  • Available during month-end periods and responsive to after-hours emergencies.
  • Familiarity with landlord/tenant legislation and regulatory compliance.
  • A criminal verification check is required for employment.

Responsibilities

  • Deliver best-in-class customer service to residents and visitors.
  • Address resident concerns, complaints, and emergencies, including after-hours incidents, while maintaining accurate documentation.
  • Issue and serve notices (e.g., Notice to End Tenancy, Notice to Enter, Violation Notices) in compliance with legal requirements.
  • Support resident satisfaction through prompt communication and consistent follow-up.
  • Uphold privacy policies when managing resident information.
  • Record receipts and make bank deposits accurately and timely.
  • Monitor resident ledgers and provide weekly accounts receivable reports.
  • Manage rental arrears, including issuing Termination and Rent Increase Notices in line with the Residential Tenancies Act.
  • Administer move-in deposits and move-out reconciliations.
  • Code and process accounts payable invoices.
  • Oversee office organization and cleanliness.
  • Manage office equipment maintenance and supply inventory.
  • Assist with general administrative duties and provide coverage during staff absences.
  • Prepare and maintain required reports such as Delinquency, Pre-Authorized Payment Reports, and others as needed.
  • Perform leasing duties as needed when the Leasing Representative is unavailable.
  • Collaborate effectively with colleagues, contractors, and property teams.
  • Participate in on-call rotation to address urgent issues outside of business hours.
