Communications Coordinator

Jupiter Island Holdings•Hobe Sound, FL

About The Position

The Communications Coordinator is a back-office production and administrative role responsible for the accurate, timely preparation of Jupiter Island Club’s recurring communications. The position manages weekly and monthly workflows for the Club bulletin, calendars, flyers, promotional materials, and digital updates. Using established templates, the Coordinator formats and edits content, proofreads submissions, prepares materials for publication, and maintains consistency with the Club’s brand and conservative Old Florida aesthetic. The role suits someone who values detailed, recurring work, accuracy, and calm execution when deadlines converge. This is primarily a back-office position, not a Member-facing customer service, event photography, social media, or on-course role. Much of the work follows established weekly and monthly production cycles and uses existing templates, with opportunities for additional design responsibility as proficiency grows.

  • Proficiency in Microsoft Word and Excel.

  • Ability to manage competing deadlines and complete recurring production work independently.
  • Exceptional attention to detail and strong spelling, grammar, proofreading, and editing skills.
  • Strong organization and ability to manage recurring tasks, multiple contributors, changing priorities, and firm deadlines.
  • Professional judgment and discretion when handling sensitive Club, Member, or executive information.
  • Clear written and verbal communication, including confidence following up for missing or unclear information.
  • Dependability, accountability, composure in a deadline-driven production environment, and receptiveness to feedback.
  • Ability to learn and apply the Club’s voice and visual standards.

Nice To Haves

  • Experience producing newsletters, bulletins, calendars, flyers, promotional materials, or similar publications.

  • Familiarity with Canva as a resource tool.
  • Experience updating website content or working within a content management system.
  • Familiarity with Northstar, including member or campaign portals.
  • Experience working within an established brand standard or a conservative, traditional design aesthetic.
  • Associate degree in communications, marketing, graphic design, business administration, English, or a related field, and two years of relevant experience preferred.
  • Equivalent education, administrative experience, publication production, communications coordination, or demonstrated proficiency may be considered.
  • A promising early-career candidate with strong foundational skills, excellent proofreading ability, and working InDesign experience may also be considered.

Responsibilities

  • Coordinate the recurring production schedule for the weekly bulletin, Club calendars, flyers, and other printed or digital communications.
  • Edit, proofread, format, and quality-check content for spelling, grammar, punctuation, consistency, accuracy, and adherence to Club standards.
  • Update established Adobe InDesign templates for the bulletin, calendars, and related publications, including text, images, and page layouts.
  • Create occasional original written content for the bulletin and adapt departmental submissions into clear, polished communications.
  • Produce intermittent flyers, signage, and promotional materials, including materials supporting Food & Beverage programming.
  • Gather and organize departmental information, track submissions, follow up on missing content, and maintain weekly and monthly deadlines.
  • Publish the bulletin and calendars digitally by updating the appropriate areas of the Club website.
  • Use Northstar to support distribution and publication workflows.
  • Maintain organized files, templates, production records, content calendars, and shared resources.
  • Identify practical opportunities to streamline recurring work, improve templates, and automate administrative processes while preserving accuracy and quality.
