About The Position

The Cystic Fibrosis Foundation is a leading healthcare nonprofit organization dedicated to finding a cure for cystic fibrosis and ensuring people with CF can live long, fulfilling lives. The organization achieves this by funding research, drug development, partnering with the CF community, and advancing specialized care. The Communications & Marketing team is seeking a Planning Sr Specialist to support the regular planning and prioritization of the department’s work, including key content and campaigns. This role involves scheduling and facilitating planning meetings, maintaining planning tools, documenting decisions, preparing reports and presentations, and ensuring teams remain aligned on priorities and upcoming work. The goal is to enable leaders to manage demand and deliver on essential CF Foundation priorities. This is a hybrid role based in Bethesda, MD, requiring 2-3 days per week in the office.

Requirements

  • Minimum six years of related experience required (strategy, planning, operations, project management, or similar fields)
  • Strong organizational, coordination, and project management skills; ability to manage multiple priorities, timelines, and meeting schedules simultaneously
  • Excellent attention to detail and follow-through; able to accurately document decisions, action items, dependencies, and changes over time
  • Strong written and verbal communication skills; able to prepare clear meeting materials, summaries, reports, and presentations for a variety of audiences
  • Strong interpersonal skills and ability to build productive working relationships across departments and functions
  • Ability to organize information and maintain shared planning tools, trackers, templates, and documentation in a clear, accessible manner
  • Ability to gather, organize, and analyze information to identify trends, monitor progress, and support planning and prioritization activities
  • Learning orientation and continuous improvement mindset; seeks opportunities to improve processes, tools, and ways of working
  • Sound judgment, professionalism, and discretion when handling sensitive information and competing priorities
  • Ability to work independently while coordinating effectively with multiple stakeholders and teams
  • Proficiency in Microsoft Office applications, including PowerPoint, Excel, Teams, Outlook, and SharePoint

Responsibilities

  • Coordinate and support the department’s annual planning process, including scheduling and supporting meetings, developing and maintaining planning materials, documenting priorities and related information, and communicating as needed.
  • Throughout the year, schedule and support regular planning and prioritization meetings between Communications & Marketing and partnering departments to help teams stay aligned on shared priorities and upcoming work.
  • Prepare and maintain clear, up-to-date documentation of key priorities and related information in shared planning tools and online workspaces to enable cross-department visibility.
  • Prepare reports, presentations, meeting agendas, summaries, and other materials to communicate priorities, progress, decisions, and insights as needed.
  • Identify trends, gaps, and opportunities to improve processes and reporting.
  • As needed, provide operational support for high-priority Communications & Marketing initiatives through project coordination, research and analytics, material development, meeting support, or progress tracking.
