About The Position

Serve as a primary point of contact for assigned commercial accounts, building and maintaining strong relationships with clients, dealers, lenders, and internal departments. This role involves responding to customer inquiries regarding vehicle status, sale results, title processing, and account activities, while providing exceptional customer service through phone, email, and in-person interactions. The specialist will also be responsible for various administrative operations, including processing vehicle run lists, account updates, sale preparation documents, and post-sale reports, while maintaining accurate customer records in auction management systems. Additionally, the role supports sale activities by coordinating pre-sale and post-sale efforts for commercial consignors, preparing auction sale packages, and monitoring vehicle movement. Compliance with company policies and regulations is crucial, as is generating and analyzing reports to track performance and identify process improvement opportunities. Collaboration with Operations, Title, Arbitration, Transportation, and Sales departments is essential for issue resolution and customer satisfaction.

Requirements

  • High school diploma/GED
  • 3 years of experience in a related field
  • Strong organizational, problem-solving, relationship-building and interpersonal skills
  • Must be able to clear a pre-employment drug test.
  • Must currently be authorized to work in the United States for any employer without current or future sponsorship. No OPT, CPT, STEM/OPT or visa sponsorship now or in future.

Nice To Haves

  • Any level of degree/certification beyond a high school diploma/GED
  • Bachelor’s degree in a related discipline
  • Experience using Salesforce, AS400, Workbench and Excel
  • Previous experience as a Commercial Services Specialist

Responsibilities

  • Serve as a primary point of contact for assigned commercial accounts.
  • Build and maintain strong relationships with clients, dealers, lenders, and internal departments.
  • Respond to customer inquiries regarding vehicle status, sale results, title processing, and account activities.
  • Provide exceptional customer service through phone, email, and in-person interactions.
  • Process vehicle run lists, account updates, sale preparation documents, and post-sale reports.
  • Maintain accurate customer records and account information in auction management systems.
  • Review and verify vehicle information for accuracy and completeness.
  • Assist with scheduling, vehicle assignments, and inventory management activities.
  • Coordinate pre-sale and post-sale activities for commercial consignors.
  • Prepare auction sale packages, reports, and account summaries.
  • Monitor vehicle movement through the auction process and resolve discrepancies.
  • Ensure vehicles are properly represented and marketed according to client requirements.
  • Verify ownership documents, titles, and required paperwork.
  • Ensure compliance with company policies, state regulations, and client-specific requirements.
  • Maintain confidential customer and vehicle information.
  • Support audit activities and documentation reviews as needed.
  • Generate and distribute operational reports to clients and management.
  • Track account performance metrics and key service indicators.
  • Identify process improvement opportunities and recommend solutions.
  • Assist leadership with data analysis and account performance reviews.
  • Work closely with Operations, Title, Arbitration, Transportation, and Sales departments.
  • Coordinate issue resolution to ensure timely customer satisfaction.
  • Support special projects and initiatives that improve operational efficiency.
