About The Position

This is a newly created support position for the Commercial Mechanical/HVAC and Commercial Plumbing departments. The role is designed for individuals with substantial hands-on or project experience in commercial mechanical and plumbing work, particularly in occupied condominiums and high-rises. The position involves owning the life cycle of commercial jobs, from setup and customer coordination to technician dispatch and material management, allowing department managers to focus on running their departments. The role requires a strong understanding of commercial building systems and the ability to manage multiple jobs simultaneously. While a support role, it is not entry-level and requires practical experience to effectively assess job progress and needs.

Requirements

  • Substantial hands-on or project experience in commercial plumbing and/or commercial mechanical/HVAC.
  • Must be strong in one trade and genuinely conversant in the other.
  • Ability to look at a scope and a material list and know whether it's right.
  • Comfort coordinating technicians, vendors, suppliers, and the warehouse.
  • Strong, calm customer communication skills, especially when answering questions or relaying status.
  • Organized and detail-driven, with the ability to juggle several active jobs at once.
  • Basic computer comfort (email and scheduling/ordering system).

Nice To Haves

  • Direct familiarity with condominium / high-rise systems — condenser water loops, water source heat pumps, DOAS, cooling towers, boilers, pumps, and VFDs.

Responsibilities

  • Own the life cycle of commercial jobs across both plumbing and HVAC/mechanical trades.
  • Coordinate with building managers and customers to schedule spec visits and brief technicians.
  • Ensure completed spec forms and scopes of work are returned by technicians.
  • Obtain material quotes from vendors and verify permit requirements, coordinating with the permit coordinator.
  • Assist in building proposals by providing material quotes and scopes of work.
  • Coordinate sending proposals to customers and field their questions.
  • Send deposit invoices to customers upon proposal acceptance and provide material lists to the warehouse for purchasing.
  • Schedule jobs upon material arrival or manager approval.
  • Confirm with technicians that all necessary materials are staged before the job begins.
  • Ensure technicians are prepared and know their destinations on the morning of the job.
  • Maintain communication with technicians during the job and report progress to the customer.
  • Confirm job completion, track man-hours and material costs against budget, send final invoices, and verify customer satisfaction.
  • Coordinate plumbing spec visits, material lists, and permit requirements, planning around occupied-building realities.
  • Coordinate mechanical spec and survey visits, accounting for equipment lead times and coordinating startup, commissioning, or inspection steps.
  • Serve as a steady point of contact for customers and building managers.
  • Work with the warehouse on ordering, staging, and material availability.
  • Keep multiple jobs moving simultaneously without letting any slip through the cracks.
  • Track man-hours and material spend to ensure jobs are on budget.
