About The Position

People’s Bank of Commerce, established in 1998 in Medford, Oregon, is a community business bank serving the southern Oregon area. This role provides basic support to the Commercial Loan Department by assisting with the setup and maintenance of commercial loan customer files. The position is responsible for documenting commercial/consumer loan packages and files in accordance with legal regulations and bank policies. The Commercial Loan Assistant ensures the correct documentation is prepared and received for each transaction to secure the bank's legal interest. Duties include accurately setting up commercial/consumer loan files in computer systems and providing excellent customer service and administrative support. As an entry-level position, frequent assistance from senior colleagues may be required, and the individual may have limited specific loan program knowledge.

Requirements

  • A. Provide friendly, courteous and professional communication support, including responding to incoming telephone calls, electronic mail and voice mail for both internal and external customers, assisting with simple inquires.
  • B. Strive for complete and accurate Laser Pro transmittal document requests to help ensure commercial loans are documented to meet regulatory standards, SBA guidelines and bank policy and may require frequent assistance from senior colleagues.
  • C. Review for accuracy and completeness on all new and renewed loan documents prior to closing, ensure correct combination of loan documents for each transaction and ensure perfection of collateral position. These duties may require frequent assistance from senior colleagues.
  • D. Obtain all necessary reports (i.e., credit reports, flood certifications, title reports, etc.) for each loan file.
  • E. Follow for receipt of property/collateral insurance coverage to assure adequate protection to Bank/ ensure collateral on Insurance Policy is same as on loan plus verify collateral identification numbers to security documents, including flood insurance.
  • F. Set-up and maintain loan files in accordance with Bank policy and procedures and established guidelines for conventional and SBA loans and may require frequent assistance from senior colleagues.
  • G. Compile reports (i.e., preparation of Exhibits I & II for CR-115’s, etc.) and prepare customer letters as directed by loan officers.
  • H. Follow-up for receipt of annual financial reporting from customers and security interests’ documents.
  • I. Understand and adhere to the compliance of all federal and state laws and regulations and bank policies, procedures, and standards in area of responsibility and may require frequent guidance from senior colleagues.
  • J. Ability to quickly learn, with assistance, laws and regulations governing bank-lending activities, the Patriot Act (CIP), Bank Secrecy Act and Community Reinvestment Act.
  • K. Review changes and updates in regulations and policies as required.
  • L. Complete all required internet compliance training within established timeframes.
  • M. Release notes and security interests on paid off loans and may require frequent assistance from senior colleagues.
  • N. Set Up and Maintain Ticklers and may require frequent assistance from senior colleagues.
  • O. Respond to simple inquiries from internal and external customers.
  • P. Attend department and staff meetings as requested.
  • Q. May be requested to become a Notary Public.
  • R. Other duties as assigned.
  • Answer telephone by 3rd ring.
  • Respond promptly to walk-in customers and incoming telephone calls by assisting or referring them to appropriate personnel/departments.
  • Maintain a satisfactory level of attendance and tardiness as defined in the bank attendance policy.
  • Maintain accuracy, neatness and thoroughness in performance of assigned duties to minimize errors.
  • Prioritize tasks and special assignments to meet deadlines on a daily basis.
  • No errors on transmittal documents.
  • Work with commercial lending department teammates ensuring credit file maintenance is such that exceptions found in outside reviewer’s audits do not exceed 25%.
  • Must be able to work within and a team environment, while effectively managing own workload.
  • Excellent oral, written and telephone communication skills.
  • Problem-solving skills and ability to tactfully resolve simple customer situations.
  • Strong proven interpersonal skills in order to provide superior quality service to teammates and customers. Supporting the bank’s commitment to fun, professional, service-oriented working/business environment.
  • Ability to manage multiple priorities and achieve results according to department priority.
  • Prior banking experience preferred or comparable experience in an analytical and support type role.
  • Successful completion of a high school diploma or GED.
  • Excellent knowledge of office equipment essential to job performance: ten-key calculator, personal computer.
  • Strong knowledge of computer programs: Word, Excel, Outlook, and Internet usage. Basic knowledge of CSI core operating system preferred.

Responsibilities
