About The Position
CoolToday is seeking a Commercial HVAC Coordinator to join their team. This role is integral to the company, serving as a first impression for customers by scheduling service appointments, managing schedules, confirming appointments, and processing paperwork. The position requires a high attention to detail, multitasking abilities, and strong organizational skills. The primary responsibility is coordinating installations for maximum customer satisfaction while maintaining profitability through efficiency and productivity. Requirements
- Experience in Office Administration, Appointment Scheduling or Dispatch
- Multi-tasking abilities
- Proficient outbound phone skills
- Proficient written and computer skills
- Excellent organizational skills
- Advanced Microsoft Excel skills
- Ability to balance multiple priorities at one time
- Experience working with customers and providing outstanding service

Responsibilities
- Provide all clients with a 5-Star experience!
- Maintain communication with clients and internal teams.
- Outbound dial all lead generations to schedule appointments
- Complete email and text communication with perspective clients
- Schedule installation appointments for all locations via phone and email
- Call customers to confirm service appointments
- Ensure service appointments are filled each day by continuously reviewing the schedule and maintaining flexible client lists
- Reassign and reschedule service appointments as needed to drive revenue generation
- Coordinate with vendors and subcontractors on scheduling changes
- Provide field support with paperwork processing as needed
- Work with install Managers to address scheduling bottlenecks or issues
- Create daily reports
