About The Position

To assist the Accounting Department with administrative tasks and general office duties. This role involves maintaining office supply inventories, scheduling and planning employee luncheons and team-building activities, creating and maintaining calendars for management, and assisting with various projects for Senior Accounting Managers and Department Heads. The position also requires building relationships with dealership personnel and attending department head meetings to strategize improvements and discuss issues. The employee must maintain an organized and safe work area, participate in required training, accurately record hours worked, and adhere to all company policies, procedures, and safety regulations.

Requirements

  • Previous Office or administrative experience in a high volume environment desired.
  • Strong organizational skills and interpersonal skills required.
  • High School Diploma
  • Intermediate knowledge of Microsoft Office Products.
  • Ability to learn the Dealership Management System, Spreadsheet software, accounting software, and inventory software.
  • Ability to understand and follow instructions.
  • Ability to communicate effectively with company personnel.
  • The position requires regular and predictable attendance.
  • Ability to read and comprehend instructions, correspondence, and memos.
  • Ability to add, subtract, multiply and divide.
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

Responsibilities

  • Maintain office supply inventories
  • Schedule and plan monthly employee luncheons
  • Create & Maintain General Manager and Senior Accounting Managers Calendars
  • Assist in scheduling & planning team building activities with various departments
  • Assist Senior Accounting Managers & Department Heads in various projects
  • Schedule meetings and attend as needed for support to Senior Accounting Managers
  • Build relationships and communication with dealership personnel, Accounting Office staff, and HAG employees
  • Attend Weekly Department Head/Senior Management Meetings to strategize on how to make the departments better and discuss issues
  • Maintains an organized, clean and safe work area
  • Participates in required training
  • Records all hours worked accurately in company timekeeping system
  • Follows Safeguards rules and regulations.
