About The Position

Spectrum Association Management is seeking a Clubhouse Coordinator to manage amenity and gate access, handle clubhouse duties, and perform administrative tasks. This role involves monitoring inventory, maintaining systems, assisting residents and vendors, and managing daily clubhouse operations. The ideal candidate will be professional, customer-service oriented, and able to handle various administrative duties efficiently.

Requirements

  • Familiarity with Association and Spectrum policies and procedures.
  • Ability to develop a base knowledge of various departments to assist residents quickly.
  • Ability to accept and record payments and allocate them appropriately.
  • Ability to submit invoices and process check requests.
  • Ability to maintain logs and follow up on completion.
  • Ability to log correspondence with homeowners in company systems.
  • Clear, professional, and accurate communication skills.
  • Ability to maintain customer relationships.
  • Demonstrates integrity, honesty, and knowledge.
  • Ability to maintain a calming demeanor during customer interaction and peak times.
  • Must be able to work 4 hours a day, five days a week (20 hours per week).

Nice To Haves

  • Experience in homeowners’ association management.
  • Experience with amenity card systems.
  • Experience with customer relationship management (CRM) systems.

Responsibilities

  • Monitor inventory and order supplies such as amenity cards, printer ink, and gate remotes.
  • Maintain the amenity card system, including the printer and scheduling service when needed.
  • Program and print amenity cards for new residents.
  • Troubleshoot and resolve issues related to amenity cards and card readers.
  • Assist residents and vendors in person or over the phone.
  • Address resident concerns and complaints, or direct them to the appropriate contacts.
  • Open and secure the clubhouse daily, and manage the alarm system.
  • Handle daily mail at the clubhouse, including invoices, return mail, and payments.
  • Answer phones and emails, and respond to voicemails within the same-day policy.
  • Become familiar with Association and Spectrum policies and procedures.
  • Accept and record payments for annual assessments, replacement amenity cards, rental fees, and deposits.
  • Submit invoices and process check requests for vendor payments.
  • Maintain a log of ongoing projects, requests, concerns, and issues, and follow up on their completion.
  • Log correspondence with homeowners in company systems.
  • Communicate clearly, professionally, and accurately.
  • Maintain customer relationships by responding to inquiries, documenting actions, and resolving concerns.
  • Demonstrate integrity, honesty, and knowledge that promotes the Spectrum culture.
  • Maintain a calming demeanor during customer interaction and peak times.
