About The Position

The Clinical Support Specialist role is a full-time position within the Behavioral Health Services Clinic at Advocate Christ Medical Center. This role focuses on providing essential support to clinicians by managing patient registrations, handling insurance eligibility and benefits, processing managed care authorizations, and performing data entry for group billing. The specialist will also be responsible for auditing clinical documentation, clearing open clinical transactions, creating transactions for treatment plan reviews, and maintaining accounts receivable for patient fees. Additionally, the role involves responding to requests for medical records and filing documentation. The position requires strong communication and PC skills, with the ability to work under stressful conditions and in difficult situations. The schedule is Monday-Friday, 8:30 am to 5:00 pm, and the role is onsite.

Requirements

  • 2 years clerical experience

Responsibilities

  • Review client registrations for completeness, check insurance eligibility and benefits, and update insurance coverage and schedule registration in six-month intervals.
  • Handle managed care authorizations by performing non-clinical functions, including entering and maintaining authorizations in data management software and hard copy charts, managing OTR requests, copying material, faxing, tracking receipts, and returns.
  • Perform data entry for group billing.
  • Audit batch handling error logs, scheduled/show appointments, and intake documentation for designated clinicians, providing feedback to clinicians and program managers.
  • Ensure all open clinical transactions are cleared by the end of the month.
  • Create clinical transactions for treatment plan reviews at the time of intake.
  • Maintain AR for all patient fees and provide feedback to designated clinicians.
  • Reply to requests for medical records, photocopy ADR documentation when requested, pull closed charts as requested, and file any other documentation in charts.
  • Collect insurance and demographic data during patient registration.
  • Explain Center policies regarding fee-setting procedures, confidentiality, and patient rights.
  • Establish fees using Center policies and guidelines.
  • Explain third-party billing procedures to patients and obtain necessary documentation.
  • Greet and respond to requests from patients at the front desk and via telephone.
  • Schedule appointments for patients.
  • Collect fees for services rendered and issue receipts to patients.
  • Contact clinical staff, psychiatrists, or managers as needed or requested.
  • Attend scheduled staff meetings with supervisor and manager.
  • Attend in-service training as scheduled by supervisor or manager.
