About The Position

The Ortho Medical Surgical team is seeking a Clinical Support Assistant to provide clerical and administrative services to the clinical leadership team. This role will support the department Director with timecard editing, field file management, and occupational health tracking. The position also involves tracking equipment, compiling audits and compliance reports, and submitting security requests for system access. Experience with MyTime and Workday is preferred. We are looking for a driven, organized, adaptable professional who can work both independently and as part of a team. This is a full-time, 40-hour position, Monday through Friday, 8:00 am - 4:30 pm, with alternating Sundays. Banner Health offers a comprehensive benefits package for all benefit-eligible positions.

Requirements

  • High school diploma/GED or equivalent working knowledge.
  • Significant experience, typically gained through 3 years relevant work experience.
  • Working knowledge of clerical and administrative services as normally demonstrated through three years administrative support experience.
  • Ability to follow oral and written directions.
  • Excellent oral, written and interpersonal communication skills to effectively interact with department personnel, assist customers with inquiries, schedule meetings and appointments, as well as, provide assistance with incoming telephone calls and walk-ins.
  • Working knowledge of personal software package to perform the clerical and administrative functions described above.
  • Ability to organize, prioritize and multi-task workload in a fast paced environment and maintain a professional manner.
  • Employees working at Banner Behavioral Health Hospital, BTMC Behavioral, and BUMG, BUMCT, or BUMCS in a Behavioral Health clinical setting that serves children must possess an Arizona Fingerprint Clearance Card at the time of hire and maintain the card for the duration of their employment.
  • An Arizona Criminal History Affidavit must be signed upon hire.

Nice To Haves

  • Experience working with MyTime and Workday is preferred.
  • Previous experience as a Health Unit Coordinator, Patient Care Assistant, PFS Representative, or in a medical clerical setting is highly preferred.
  • Additional related education and/or experience preferred.

Responsibilities

  • Provides clerical and administrative services to the clinical leadership team.
  • Assists the department Director with timecard editing, field file management and occupational health tracking.

  • Creates onboarding schedules and new hire activities.
  • Provides advanced administrative support for an executive or large/complex department or provides advanced/specialized business support.

  • Demonstrates strong understanding of office or area practices, procedures and business terminology.
  • Demonstrates speed and accuracy with word processing.
  • Shows ability to organize, prioritize and multi-task workload in a fast-paced environment.
  • Provides customer service skills.
  • Excellence in advanced administrative skills such as dictation, transcription, presentation development and meeting planning; or excellence in advanced business support skills such as data management, compilation and manipulation.
  • Uses established policies and general instructions and procedures to resolve a variety of problems.
  • Maintains records and/or files for assigned area.
  • Ensures appropriate documentation is timely and accurately entered in the departmental application.
  • Prepares, collates, and distributes various reports in a timely and accurate manner.
  • Demonstrates ability to complete or handle recurring department projects or one-time projects, as directed by supervisor.
  • Prioritizes and organizes own work.
  • Uses discretion to modify work practices to achieve results or improve efficiency.
  • Receives high-level work direction, with after the fact review.
  • May provide clerical and administrative support to department staff, maintaining a high degree of confidentiality on all sensitive information this position is privy to.
  • Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards.
