About The Position

This full-time position within the Clinical Trial Methods Center of Excellence at Wake Forest University Health Sciences focuses on the financial aspects of clinical research. The role involves Medicare Coverage Analysis (MCA), budget development and negotiation, financial management of clinical trials, and reporting/analysis of trial financials. The Financial Analyst I will be a primary user of systems like OnCore, ClinCard, and EPIC, providing support and training to study staff. The position requires a Bachelor's degree in Business, Accounting, or Finance with 3 years of relevant experience in clinical research financial analysis, and knowledge of research administration systems.

Requirements

  • Knowledge of OnCore, ClinCard, and/or EPIC research administration is required.
  • Excellent oral and written communication skills.

  • Strong interpersonal skills and attention to detail.
  • Experience with computerized databases (e.g., Microsoft Excel), word processing (e.g., Microsoft Word), and presentation software (e.g., Microsoft PowerPoint).
  • Demonstrates ability to work independently and manage competing priorities.

Responsibilities

  • Conduct Medicare Coverage Analysis (MCA) by reviewing study protocols, sponsor agreements, and informed consent forms to determine qualifying clinical trial status.
  • Develop coverage (billing) grids in OnCore.
  • Analyze Medicare benefit policies, coverage determinations, and medical practice guidelines related to study interventions.
  • Collaborate with Principal Investigators and clinical research teams to finalize MCA and designate funding sources.
  • Develop comprehensive cost analyses and initial study budgets.
  • Provide CRMS/WISER training to study staff and colleagues.
  • Maintain a library of information on standards of care, National Coverage Decisions (NCDs), and Local Coverage Determinations (LCDs).
  • Stay updated on Medicare, sponsor, and federal policy and regulatory issues.
  • Develop internal budgets including all study-related costs.
  • Create detailed final budgets by identifying all activities, tests, and procedures based on protocol documents.
  • Create visit schedules and budgets in OnCore.
  • Negotiate with sponsors regarding trial costs.
  • Review patient care charges associated with clinical research studies in collaboration with the Research Billing Team.
  • Work with Special Billing and Department post-award personnel to ensure appropriate charge treatment.
  • Support financial management of clinical trials from federal, foundation, and industry funds by performing accounts receivable functions.
  • Generate and send invoices to study sponsors.
  • Track and monitor receivables from sponsors, including pass-through fees and milestone payments.
  • Generate reports on study financials.
  • Reconcile payments received to OnCore and CORE Connect (Oracle Cloud).
  • Notify Financial Services of appropriate study accounts for payment receipt.
  • Resolve financial issues with sponsors.
  • Ascertain amounts paid and remaining due on assigned study sponsor accounts.
  • Establish payment plans with guarantors regarding past due accounts.
  • Re-evaluate existing payment plans when accounts become delinquent.
  • Follow up with Departments to ensure proper amounts are collected and recommend actions for accounts.
  • Initiate calls to Departments to verify payment amounts on research accounts.
  • Mail financial statements to Departments.
  • Review account balances and communicate with Departments regarding billing and collection policies.
  • Support post-award personnel and Sponsored Programs in reviewing revenue prior to study closeout.
  • Support the closeout of study activities in OnCore, ClinCard, and EPIC.
  • Prepare analyses and reports of clinical trial financials for various stakeholders.
  • Assist Principal Investigators with budget monitoring and projections.
  • Produce ad hoc analyses as needed.
  • Serve as a primary user of OnCore, ClinCard, and EPIC.
  • Provide education and assistance to new users and study team members on OnCore and ClinCard functionality.
  • Prioritize job tasks and assist Manager/Director with special projects and daily tasks.
  • Participate in continuing education offerings for personal development.
  • Perform other related duties as assigned.
