About The Position

PrimaryMD is a concierge primary care and longevity practice seeking a Clinical Operations Manager to be the operational backbone of their NYC clinical team. This role involves working closely with the Chief Scientific Officer to manage clinical operations, ensuring a seamless patient care experience. Key responsibilities include handling referrals, prior authorizations, imaging coordination, pharmacy navigation, and leading the care coordination team. This is a builder's role in a new market, requiring the creation of operational playbooks and infrastructure.

Requirements

  • RN required at minimum; NP or PA welcome.
  • Active New York license in good standing.
  • 5+ years of clinical experience, ideally including ER, urgent care, or high-acuity outpatient settings.
  • Hands-on experience with referrals, prior authorizations, imaging coordination, and pharmacy navigation.
  • Prior charge, supervisory, or assistant-director experience.
  • Deep working knowledge of New York City's healthcare landscape — hospital systems (Mount Sinai, Lenox Hill / Northwell, NewYork-Presbyterian / Weill Cornell), imaging centers, and specialist networks.
  • Ability to get a patient seen, scanned, or authorized in NYC and identify key contacts.
  • Relentlessly organized and a finisher.
  • Independent navigator comfortable with ambiguity.
  • Team player who leads with warmth and holds a high bar.
  • Service mindset suited to a concierge membership practice: poised, discreet, personal.
  • Comfortable with technology (EMR, messaging platforms, AI-enabled tools).

Responsibilities

  • Execute and own the clinical follow-through from every visit: specialist referrals, prior authorizations, pharmacy issues, lab and imaging orders, and patient follow-ups.
  • Unstick issues within the healthcare system.
  • Establish the operational infrastructure of a new market: register physicians across hospital and imaging portals, build relationships with specialist offices and imaging centers, and create the referral network.
  • Manage the care coordination team, setting priorities, resolving escalations, auditing workflows, and developing the team.
  • Serve as the first point of contact for operational questions and ensure timely answers.
  • Utilize knowledge of New York's hospital systems, specialist landscape, and insurance quirks to prioritize and route complex cases.
  • Document workflows and SOPs as they are built.
  • Transition from hands-on execution to broader clinical operations leadership as the practice grows and adds support staff.
