The Clinical Office Assistant will greet patients and visitors in a prompt, courteous, and helpful manner, collect insurance co-payments, and respond to routine requests for information. This role involves scheduling and maintaining calendars for appointments, meetings, and travel, and coordinating related administrative aspects. The assistant will also schedule patients, enter information into the computer system, and coordinate appointments with other areas or physician offices. Responsibilities include answering and screening telephone calls, triaging clinical calls, and resolving problems. The role involves assembling, copying, and releasing patient medical records, working with the Medical Records Department for additional information, and generating, modifying, and distributing basic reports. Additionally, the assistant will manage mail, operate office equipment, process referrals and re-authorizations, handle patient registration, and may process billing/reimbursement forms. Maintaining logs and reports, performing simple calculations, and assisting with data gathering for reports and meetings are also key duties.
