About The Position

This full-time position is responsible for coordinating the operational workflow of clinical office staff within the Outpatient Rehabilitation department at AMC Manitowoc County. The role involves distributing workload, maintaining daily clinical office levels in collaboration with a supervisor, and assisting with human resource responsibilities such as interviewing, orientation, staff development, and performance feedback. The Lead will also perform Clinical Office Assistant duties, including reception, patient scheduling, data entry, billing, and general clerical functions. This role serves as a resource for department personnel and physicians, aiding in problem-solving, policy development, customer relations, and implementing changes. Additional duties may include managing calendars, coordinating meetings, conducting staff meetings or training, overseeing supply orders, monitoring office equipment, and resolving customer concerns. The position may also involve developing and implementing new projects or reports and assisting with data analysis.

Requirements

  • High School Graduate.
  • Typically requires 5 years of experience in secretarial/clerical support.
  • Intermediate to advanced computer skills with Microsoft office products (Word, Excel, Access, PowerPoint).
  • Demonstrated project coordination skills.
  • Excellent interpersonal, written, and verbal communication skills.
  • Demonstrated customer service skills including service recovery.

Responsibilities

  • Coordinates operational workflow of clinical office staff.
  • Distributes workload and staff assignments as necessary for optimum efficiency.
  • Maintains daily clinical office levels in collaboration with supervisor.
  • Assists supervisor with human resource responsibilities (interviewing, orientation, staff development, performance feedback, employee concerns, morale).
  • Performs Clinical Office Assistant duties as needed (reception, phone triage, scheduling, data entry, billing, medical records, filing, report compilation, co-payment collection, general clerical functions).
  • Serves as a resource for department personnel and physicians (problem solving, policy development, customer relations, service management, implementing changes).
  • May schedule and maintain calendars for appointments, meetings, and travel, coordinating related administrative aspects.
  • May conduct staff meetings, huddles, and arrange training/education programs.
  • Oversees ordering of department supplies and maintains awareness of budget constraints.
  • Monitors department office equipment and troubleshoots minor problems, arranging for maintenance or repairs.
  • Resolves basic to intermediate customer concerns and complaints.
  • Independently plans, develops, and implements additional projects or reports useful to the department.
  • Gathers, compiles, and summarizes data/information for analysis.
  • Assists in monitoring, tracking, and analyzing data.
